Front Desk Administrative & Operations Assistant

Location: Downtown Mobile, Alabama
Schedule: Full-time, Monday-Friday, 8:00 a.m.-5:00 p.m.
Pay: $18-$20 per hour
Work Location: In office

About the Role

Transworld Business Advisors Gulf Coast is looking for a professional, dependable, and upbeat Front Desk Administrative Assistant to join our growing team.

This position is ideal for someone who enjoys being the person who helps keep an office organized and moving forward. You will serve as the first point of contact for our clients and visitors while providing administrative, operational, and marketing support to our leadership team and business brokers.

We are a small internal team, so teamwork matters. We are looking for someone willing to jump in, learn our business, take ownership of their responsibilities, and grow with the company.

What You’ll Do

Answer and route incoming calls, emails, voicemails, and website inquiries.
Welcome visitors and maintain a professional, client-ready front office.
Promptly communicate seller leads, buyer inquiries, and referrals to the appropriate team member.
Assist with scheduling, calendar coordination, and meeting preparation.
Prepare and organize NDAs, agreements, addendums, closing documents, and other business paperwork.
Maintain accurate client, listing, and transaction files in SharePoint, CRM platforms, and internal systems.
Support brokers with active listings, buyers, projects, and follow-up items.
Help create business profiles, Confidential Information Memorandums, presentations, marketing packets, and listing materials using established templates.
Assist with email campaigns, newsletters, CRM updates, and general office operations.
Keep the reception area, conference rooms, and shared client spaces organized and professional.

What We’re Looking For

At least two years of administrative, office support, customer service, or office coordination experience.
Proficiency with Microsoft Office 365, including Outlook, Word, Excel, and PowerPoint.
Strong written and verbal communication skills.
Excellent organization and attention to detail.
Dependable attendance and punctuality.
A professional, friendly, and team-oriented attitude.
Ability to manage multiple priorities and follow assignments through to completion.
Someone who is coachable, eager to learn, and comfortable taking initiative.
Experience with SharePoint, CRM platforms, or Canva is helpful but not required.

Schedule and Reporting

This is a full-time, in-office position working Monday-Friday from 8:00 a.m.-5:00 p.m., with a one-hour lunch break. The position reports directly to the VP of Operations & Marketing.

Compensation and Benefits

$18-$20 per hour, based on experience.
Medical, dental, and vision insurance options available after 90 days.
Paid time off eligibility after completing the 90-day introductory period; details will be discussed at that time.
