Position Summary
The Fleet Manager optimizes a fleet of approximately 100 trucks and 100 trailers across all sites, balancing cost, availability, and asset lifecycle — minimizing maintenance spend while keeping equipment safe, compliant, and ready to support daily operations. This role oversees in-house light maintenance, manages third-party vendors for major repairs, and partners with operations leadership on equipment purchases and sales.
Top priorities in the first year:
- Reduce maintenance spend per unit while maintaining or improving fleet uptime.
- Ensure sites have the right equipment in the right place to support schedules and growth.
- Build a disciplined process for vendor management, repairs, and equipment lifecycle.
What You'll Do
- Maintain an accurate view of all fleet assets (road tractors, yard trucks, and trailers) across all sites, and partner with operations leadership to optimize equipment allocation, relocation, retirement, and capacity planning.
- Oversee daily maintenance and repair workflow — in-house light maintenance and third-party shops for complex work — including work order/invoice approval within defined spending limits.
- Select, negotiate, and manage vendors with an emphasis on cost, quality, and turnaround time, and ensure preventive maintenance is scheduled and consistently executed.
- Monitor maintenance costs by unit, site, and vendor to identify trends and savings, and make repair-vs-replace recommendations based on cost, downtime, and long-term strategy.
- Support equipment purchases and sales, including spec recommendations, competitive quotes, and disposal coordination.
- Maintain working knowledge of commercial vehicle standards in the states where we operate, and coordinate with Safety, Compliance, and Insurance to resolve defects and support audits and claims.
- Serve as the primary point of contact for fleet issues across regional leadership, communicating clearly on equipment availability, downtime, and return-to-service timelines.
- Manage and develop a small fleet/maintenance team, setting expectations and holding the team accountable.
Success Metrics
Maintenance spend trends and cost per unit, fleet uptime, on-time preventive maintenance completion, vendor performance (cost, quality, turnaround), and adherence to agreed fleet/capex plans.
What You'll Need
- Prior experience as a Fleet Manager or similar role in a trucking/carrier or transportation environment managing a medium-sized fleet; experience across multiple locations strongly preferred.
- Hands-on mechanical background (mechanic, technician, shop foreman) with progression into management strongly preferred.
- Strong mechanical triage skills and the ability to challenge and validate repair recommendations.
- Proven vendor negotiation and management experience.
- Solid analytical skills and comfort with spreadsheets and maintenance tracking tools.
- Clear, direct communication style that balances site needs with safety, cost, and long-term fleet health.
- Ability to build process, implement structure, and drive accountability across sites.
Education & Credentials
- High school diploma or equivalent required; additional technical or business education a plus.
- CDL Class A is a strong plus (or willingness to obtain).
- Valid driver's license and ability to be insured under company policy.
Work Conditions & Authority
- On-call for urgent breakdowns and time-sensitive fleet issues.
- Authority to approve repairs and maintenance within defined spending thresholds; larger decisions require a clear business case.
