Full Job Description

Not an entry-level office job. We’re looking for an experienced, tech-savvy problem solver who can manage schedules, juggle changing priorities and keep clients and employees moving in the right direction.

We are looking for an experienced office professional to join our team as a Staffing & Scheduling Coordinator.

This is not an entry-level position: You’ll play an important role in the daily operation of our business

What You’ll Do

Coordinate daily client schedules and employee assignments
Respond to call-outs, schedule changes and staffing needs
Solve scheduling conflicts and help maintain appropriate coverage
Communicate professionally with clients, families and employees
Support new-client onboarding and service coordination
Maintain accurate documentation, schedules and records
Participate in client follow-up and quality assurance
Work across multiple scheduling, CRM and business software systems
Collaborate with an experienced office team
Identify opportunities to improve efficiency, communication and customer service

Every day is different. Priorities can change quickly, so you must be able to stay organized, think clearly and provide excellent service even when several things need your attention at once.

Minimum Qualifications: We are looking for candidates with a strong professional office background. You should have:

2+ years of professional office experience
Scheduling, staffing, dispatching or service coordination experience strongly preferred
Experience creating professional correspondence and documents in Microsoft Word
Working knowledge of Microsoft Excel, including creating/editing spreadsheets and using basic formulas
3+ years of Microsoft Outlook experience, including email and calendar management
Strong written and verbal communication skills
Excellent organization and time-management skills
Strong attention to detail
Ability to prioritize multiple responsibilities in a fast-paced environment
Ability to quickly learn new scheduling and business software
Confidence working independently and making day-to-day operational decisions

Technology Matters in This Role: This is a computer-intensive position. Throughout your day, you may work with:

Microsoft Outlook
Microsoft Excel
Microsoft Word
Scheduling software
CRM software
Cloud-based business applications
Multiple computer monitors and programs simultaneously

Strong computer skills are essential for success in this position.We’d Especially Like to Meet You If You Have

An associate degree or 1–2 years of college coursework in Business, Office Administration, Healthcare Administration or a related field
Previous healthcare, staffing, scheduling, customer service or office-operations experience
Experience coordinating schedules for multiple employees or clients
Experience working across multiple computer systems simultaneously
