Member Experience & Student Services CoordinatorFront Office, New Member Relations, Student Support & Media Assistance

American Sports Academy – Oregon (ASA-Oregon) Beaverton, OR 97006

Job Type: Part-time | In-person

Paid Training Period: $16.50 per hour, typically 2–4 weeks

Post-Training Pay: $17.00–$30.00 per hour, depending on experience, demonstrated skills, performance, and assigned responsibilities

About ASA-Oregon

ASA-Oregon provides afterschool education, sports training, Taekwondo, leadership development, and character education programs for children.

We are looking for an outgoing, responsible, and dependable team member who enjoys communicating with students, parents, and new families.

This is more than a basic front desk position. The employee will help create a positive first impression, support current students and families, complete administrative follow-up, and represent ASA professionally.

Growth opportunities are available for candidates who demonstrate strong communication, reporting, enrollment, presentation, media, leadership, and operational skills.

Responsibilities

Welcome students, parents, prospective families, and visitors professionally
Create a friendly and organized first impression for new families
Support student check-in, check-out, attendance, and transitions
Answer calls, emails, texts, and routine program questions
Maintain accurate student, parent, attendance, and communication records
Communicate clearly with teachers, coaches, parents, and management
Follow up on parent questions, missing forms, tours, and trial classes
Schedule and confirm tours, consultations, or trial classes when assigned
Support enrollment and customer-service activities
Help prepare for orientations, events, and ASA presentations
Capture or organize approved photos and short videos when assigned
Assist with basic Canva, media, certificate, or presentation materials
Complete assigned tasks and provide timely progress reports
Report student, parent, safety, or facility concerns promptly
Help maintain a safe, organized, welcoming, and positive environment

The position combines front office service, student management, administrative support, parent communication, new-member follow-up, enrollment support, media assistance, and daily program coordination.

Position Levels and Pay

Starting title and pay will be based on the candidate’s experience, demonstrated skills, and assigned responsibilities.

Level 1: Member Experience & Student Support Assistant

Typical Pay: $17.00–$19.00 per hour

Focuses on welcoming families, check-in and check-out, student transitions, basic questions, front office organization, and assigned administrative tasks.

Level 2: Member Experience & Student Services Coordinator

Typical Pay: $19.00–$23.00 per hour

Independently handles student records, parent communication, administrative follow-up, progress reporting, media organization, and routine daily coordination.

Level 3: Student & Family Experience Lead

Typical Pay: $23.00–$26.00 per hour

Handles new-family inquiries, tours, trial-class follow-up, program presentations, family communication, staff guidance, and enrollment support.

Level 4: Community Experience & Operations Manager

Typical Pay: $26.00–$30.00 per hour

Oversees front office priorities, member experience, staff coordination, enrollment follow-up, presentations, media support, and assigned operational systems.

Higher pay is based on demonstrated performance, leadership, communication, follow-through, and assigned responsibilities—not length of employment alone.

Movement to a higher title or pay level is not automatic. Material changes in duties, authority, schedule, or compensation will be confirmed by management whenever reasonably possible.

Work and Reporting Expectations

Employees are expected to follow ASA’s work process:

Plan → Confirm → Execute → Progress Report → Adjust → Complete → Final Report

Employees should clearly report:

What has been completed
What remains pending
Problems or delays
Families or staff requiring follow-up
Support or approval needed
The next step

Employees should not wait until the end of the shift to report a serious problem.

Enrollment and Approval Limits

Employees assigned enrollment duties may explain approved programs, schedule tours or trials, complete follow-up, and support enrollment paperwork.

Employees may not independently:

Change tuition
Offer unauthorized discounts
Promise refunds or credits
Change membership terms
Guarantee transportation or program placement
Make exceptions to ASA policies

Any enrollment bonus or commission must be provided separately in writing before it is earned.

Qualifications

Outgoing, friendly, and comfortable meeting new people
Honest, dependable, responsible, and punctual
Strong interpersonal and customer-service skills
Comfortable communicating with children and parents
Professional in person, by phone, and through written messages
Organized and able to follow through without repeated reminders
Able to report problems and progress clearly
Comfortable learning Google Drive, spreadsheets, email, Canva, and student-management systems
Able to work independently and as part of a team
Reliable transportation to Beaverton
Willing to complete required training and background procedures

Previous experience in front office work, education, childcare, customer service, enrollment, sales, media, event support, or administration is preferred.

Experience with Canva, photography, short-form video, public speaking, or presentations is a plus.

A background check is required. Oregon Central Background Registry enrollment may be required depending on assigned student-supervision duties.

Schedule

Weekday afternoon and evening availability preferred
Additional hours may be available during camps, school-closure days, orientations, and special events
Occasional weekend availability is a plus
Exact schedule will be confirmed based on program needs and employee availability
