HVAC Office Administrator / Front Office Coordinator

Location: Portland Metro Area, OR
Job Type: Full-Time

We are looking for an organized, dependable, and customer-focused HVAC Office Administrator to become the central point of communication between our customers, field technicians, and management team.

Primary ResponsibilitiesCustomer Service

Answer incoming phone calls, emails, and text messages professionally and courteously.
Schedule service calls, maintenance appointments, estimates, and installations.
Communicate with customers regarding appointment times, technician arrival, and job updates.
Provide outstanding customer service while resolving questions and concerns.

Scheduling & Dispatch

Coordinate daily schedules for HVAC service technicians and installers.
Dispatch technicians efficiently while adjusting schedules as priorities change.
Monitor technician progress and communicate scheduling changes throughout the day.
Help maximize route efficiency and technician productivity.

Administrative Support

Perform accurate data entry and maintain customer records.
Prepare proposals, work orders, permits, and project documentation.
Organize digital and paper files.
Order and maintain office supplies as needed.

Billing & Office Operations

Generate invoices and collect payments.
Assist with accounts receivable and accounts payable.
Utilize QuickBooks and Google Workspace for daily operations.
Track outstanding invoices and customer communications.

HVAC Program Administration

Register manufacturer warranties.
Process utility rebates and incentive paperwork.
Assist with permit documentation and inspections.
Maintain accurate project files for internal records and funding program compliance.
Support documentation requirements for energy efficiency programs and grant-funded projects.

Team Support

Provide administrative support to managers and field staff.
Assist technicians with paperwork, scheduling, and customer communication.
Help maintain efficient office operations while supporting company growth.

QualificationsRequired

High school diploma or equivalent.
Previous experience in an administrative, receptionist, customer service, or office assistant role.
Excellent verbal and written communication skills.
Strong organizational and multitasking abilities.
Professional phone etiquette.
Detail-oriented with excellent time management.
Ability to work independently while contributing to a team environment.

Technical Skills

Microsoft Office (Word, Excel, Outlook)
Google Workspace
QuickBooks (preferred)
Ability to quickly learn new scheduling and dispatch software

Preferred

HVAC, construction, plumbing, electrical, or home services industry experience.
Dispatching or scheduling experience.
Bilingual (English/Spanish).
