Full Job Description

The American Society of Cataract and Refractive Surgery (ASCRS) empowers anterior segment surgeons to improve the vision, outcomes, and quality of life of their patients through innovative approaches to Education, Advocacy, and Philanthropy.

Position Overview

The Administrative Coordinator provides administrative and coordination support across multiple departments, helping ensure recurring processes, projects, meetings, and communications are organized and completed accurately and on time. Working closely with team members across the organization, this role manages a variety of administrative activities that support meetings and events, educational programs, membership services, and organizational operations.

Key Accountabilities

1. Meeting, Event & Program Coordination

Provides administrative and logistical support for organizational meetings, events, and educational programs. Coordinates recurring activities, communications, documentation, and follow-up to ensure assigned deliverables are completed accurately and on schedule.

2. Committee, Faculty & Stakeholder Administration

Coordinates administrative processes involving committees, faculty, exhibitors, members, and other organizational stakeholders. Maintains accurate information and documentation, prepares communications, tracks required materials, and follows up with stakeholders to ensure deadlines and requirements are met.

3. Member & Customer Support

Provides responsive and professional administrative support to members, meeting attendees, and other stakeholders. Serves as backup support for membership and Annual Meeting registration inquiries and assists with routine questions, requests, and administrative needs.

4. Cross-Functional Administrative Coordination

Provides administrative and project coordination support across departments and organizational initiatives. Maintains organized records and documentation, tracks deadlines and action items, coordinates communications and logistics, and supports shared administrative processes that help teams operate efficiently.

Typical Activities for This Role

Coordinating conference calls and virtual meetings, including scheduling, invitations, materials, and follow-up.
Supporting Annual Meeting activities such as affiliate events, exhibitor communications, and meetings support.
Coordinating committee rotation activities, including letters, roster updates, and collection of headshots and other required information.
Processing and tracking faculty honoraria and Annual Meeting complimentary registrations.
Assisting with administrative coordination for educational programs, including Main Stage and Subspecialty Day.
Providing backup phone and email support for membership and Annual Meeting registration inquiries.
Maintaining information in Salesforce/Nimble AMS, project trackers, rosters, and shared files.
Assisting with special projects and other cross-functional administrative needs as priorities evolve.

Preferred Skills

Strong organizational skills with the ability to manage multiple priorities, recurring processes, and deadlines.
Excellent attention to detail and commitment to accuracy.
Ability to work independently while collaborating effectively with multiple departments and team members.
Strong customer service and interpersonal skills.
Ability to follow through on assignments, anticipate next steps, and keep projects and processes moving forward.
Proficiency with Microsoft 365 applications, including Outlook, Word, Excel, and PowerPoint.
Experience with Salesforce, Nimble AMS, or a similar association management or CRM system preferred.
Experience with event coordination, meeting support, educational programming, or membership organizations preferred.
Compensation & Work Arrangement

The salary range for this position is $55,000–$63,000, based on experience and qualifications. This is a primarily remote position based in the Fort Worth area, with occasional in-person responsibilities as needed.
