Position Summary

We are seeking a friendly, organized, and dependable Customer Service & Administrative Specialist to become the first point of contact for our customers while supporting the daily operations of our business.

This position plays an important role in keeping our office running efficiently by assisting customers, supporting our Operations Manager, helping our sales team, and providing administrative support to our shipping department.

The ideal candidate enjoys working with people, communicates professionally, is highly organized, and takes pride in delivering outstanding customer service.

This position reports directly to the Operations Manager.

What You'll DoCustomer Service

Professionally answer and direct incoming phone calls.
Provide exceptional customer service to existing and prospective customers.
Answer general questions regarding orders, shipping, and estimated lead times.
Route customer inquiries to the appropriate department.
Take accurate messages and ensure timely follow-up.
Help create a positive experience for every customer who contacts our company.

Administrative Support

Monitor and distribute incoming company emails.
Enter sales orders using Microsoft Excel and company software.
Maintain accurate customer records and documentation.
Organize electronic files and office documents.
Assist with administrative projects and general office responsibilities.

Sales Support

Assist the sales team with administrative tasks.
Support order entry during busy periods.
Verify order information for accuracy.
Prepare customer documentation and paperwork as needed.

Shipping & Operations Support

Assist the shipping department with administrative paperwork.
Prepare shipping documentation and packing paperwork.
Help prepare products for shipment when needed.
Support the Operations Manager with daily operational activities.
Perform additional duties as business needs require.

What We're Looking ForRequired Qualifications

Excellent verbal and written communication skills.
Professional telephone etiquette.
Strong customer service skills.
Excellent organizational and multitasking abilities.
High attention to detail.
Proficiency with Microsoft Excel, Outlook, and Microsoft Office.
Ability to work independently while contributing to a team environment.
Positive attitude and strong work ethic.

Preferred Qualifications

Administrative or office support experience.
Customer service experience.
Experience working in a small business environment.
Experience with shipping, logistics, order processing, or eCommerce is a plus.
Experience with ERP, CRM, or accounting software is a plus.
