Full Job Description

Position Summary

We are seeking a friendly, professional, and organized Med Spa Receptionist to support our front desk and daily med spa operations. This position is responsible for creating a welcoming experience for clients, managing appointments, assisting providers, maintaining a clean and organized environment, and supporting the overall flow of the practice.

The ideal candidate is personable, detail-oriented, dependable, and comfortable working in a fast-paced, client-focused environment.

Responsibilities

Greet clients warmly and provide a professional, welcoming experience.
Answer phones, respond to emails and messages, and assist with client inquiries.
Schedule, confirm, reschedule, and manage client appointments.
Check clients in and out and maintain accurate client information.
Process payments, memberships, packages, and retail purchases.
Assist with consultations and treatment preparation as directed by licensed providers.
Prepare treatment rooms and ensure they are clean, stocked, and ready for clients.
Maintain cleanliness and organization throughout the med spa.
Assist providers with supplies, room turnover, and other non-clinical tasks such as laundry.
Educate clients on available services, skincare products, memberships, and promotions within the scope of the position.
Assist with inventory management and restocking supplies and retail products.
Make follow-up calls and help maintain strong client relationships.
Help coordinate daily schedules and ensure appointments run smoothly and on time.
Maintain client confidentiality and follow all company policies and applicable privacy and safety requirements.
Support social media, promotions, events, and other marketing initiatives as needed.
Perform other administrative and operational duties as assigned.
Assist with social media posts and marketing.

Qualifications

Previous experience in a med spa, medical office, salon, spa, hospitality, or customer-service environment preferred.
High School Diploma or equivalent.
Excellent customer-service and communication skills.
Strong organizational and time-management abilities.
Professional, polished, and friendly demeanor.
Comfortable using computers, scheduling software, email, phone systems, and payment systems.
Ability to multitask and remain calm in a busy environment.
Strong attention to detail and ability to maintain client confidentiality.
Reliable, punctual, and able to work effectively as part of a team.
Knowledge or interest in skincare, aesthetics, wellness, or cosmetic treatments is a plus.

Preferred Skills

Experience with med spa or medical scheduling software.
Familiarity with skincare products and aesthetic treatments.
Retail sales or membership sales experience.
Social media and basic marketing experience.
Ability to anticipate the needs of clients and providers.

Physical Requirements

Ability to stand and move throughout the facility for extended periods.
Ability to perform light lifting, stocking, and room preparation.
Ability to work in a fast-paced, client-facing environment.

Schedule

Part-time availability. Schedule typically is Wed-Fri and every other Saturday mornings/early afternoons.

Compensation

Hourly rate.
Skincare commission
