Purchasing Agent

Sewing Collections Inc. is an established B2B packaging and shipping company with four warehouses across the nation. We are seeking a results-oriented, self-motivated Purchasing Agent to join our team. This position will report directly to the CEO and Purchasing Manager.

The Purchasing Agent will be responsible for strategically purchasing packaging products, managing inventory, developing strong supplier relationships, and ensuring the company receives the best possible pricing, quality, and service. The ideal candidate will have strong negotiation skills, purchasing experience, attention to detail, and the ability to evaluate market conditions and supplier options to support the company’s profitability and growth.

Key Responsibilities

Negotiate with vendors and suppliers to obtain the best possible pricing, terms, and conditions.
Monitor, track, analyze, and manage inventory levels across warehouse locations.
Perform weekly cycle counts to maintain accurate inventory records.
Maintain accurate inventory counts and support effective inventory management practices.
Research and evaluate suppliers, supplier profiles, pricing, and product offerings.
Analyze vendor quotes and purchasing opportunities to identify cost savings and value.
Strategically negotiate pricing, payment terms, lead times, freight, and other purchasing conditions.
Create and process purchase orders (POs) through the company’s ERP system.
Follow up with vendors to obtain PO confirmations and ensure order accuracy.
Confirm order status, shipping dates, estimated arrival dates, and shipment tracking information with vendors and suppliers.
Monitor deliveries and work with internal teams to manage delays, back orders, and changing delivery schedules.
Maintain current and accurate vendor information, product information, pricing, and purchasing records within the inventory/ERP system.
Process purchase request forms submitted by internal departments and employees.
Identify and reconcile purchase order, receiving, pricing, and invoice discrepancies in coordination with Accounting.
Monitor past-due purchase orders daily and take appropriate action to resolve delays.
Work with Warehouse and Receiving teams to resolve product quality, quantity, and delivery discrepancies.
Collaborate closely with Receiving, Shipping, Customer Service, Production, and other departments to address shortages, missing products, and urgent purchasing needs.
Maintain clear and timely communication with vendors and internal departments.
Develop and maintain productive, long-term relationships with key suppliers and leverage those partnerships to achieve cost savings and improved service.
Identify opportunities to improve purchasing processes, reduce costs, and increase operational efficiency.
Perform other purchasing and procurement duties as assigned.

Qualifications

Minimum of 3 years of purchasing or procurement experience.
Import purchasing experience is highly desirable.
Experience with customs, importing, and import clearance is highly desirable.
Familiarity with shipping, receiving, warehouse, and inventory operations.
Strong negotiation, communication, and vendor-management skills.
Ability to evaluate suppliers, pricing, market conditions, and purchasing options.
Strong attention to detail and excellent organizational skills.
Ability to work collaboratively with multiple departments and respond quickly to changing priorities.
Ability to build and maintain strong professional relationships with vendors, suppliers, and internal teams.
Self-motivated, proactive, and able to work effectively in a fast-paced environment.
Strong work ethic, integrity, accountability, and follow-through.
Ability to learn quickly and take ownership of responsibilities.
Proficiency with Microsoft Office, including Outlook, Word, Excel, and PowerPoint.
Experience working with an ERP or inventory management system is preferred.
