Full Job Description

Flow Wellness is a rapidly growing concierge wellness and medical clinic helping patients optimize their health through medical weight loss, hormone optimization, peptide therapy, ketamine therapy and preventive wellness services.

We are seeking an Operations & Marketing Manager who can help drive clinic growth while ensuring exceptional day-to-day operations and patient experiences. This is a leadership role for someone who enjoys building relationships, creating systems, solving problems, and helping grow a healthcare business.

The ideal candidate is equally comfortable managing operations, supporting patients, overseeing staff, building referral relationships, and executing marketing initiatives that drive measurable results.

Key Responsibilities

Operations & Clinic Management-70%

Supervise and support one part-time team member
Resolve patient concerns and provide exceptional customer service
Answer patient questions and support the patient experience
Manage inventory, ordering, and supply management
Oversee compounded medication and peptide ordering processes
Coordinate with vendors, suppliers, and service providers
Maintain records related to inventory, personnel, orders, supplies, and equipment maintenance
Support clinic policies, procedures, and operational improvements
Ensure compliance with HIPAA and other healthcare regulations
Answer phone, available for order pickups

Marketing & Business Development-30%

Support Flow Wellness's expansion into King County by identifying referral opportunities and establishing a presence within new communities
Build and maintain referral relationships with gyms, medical spas, podiatrists, healthcare providers, and other strategic partners
Drive new patient acquisition and business growth
Follow up with prospective patients through phone, text, email, and scheduling platforms
Help convert consultations into memberships, treatment packages, and wellness programs
Create and execute marketing campaigns, email campaigns, SMS campaigns, and social media promotions
Support local partnerships, community outreach efforts, and referral programs
Track leads, conversion rates, campaign performance, and revenue growth
Bring organization, accountability, and creative ideas to sales and marketing initiatives

Qualifications

Required Skills & Experience

Experience in medical office management, clinic operations, or healthcare administration
Experience with EMR systems, HIPAA compliance, and medical records management
Comfortable managing staff, providing constructive feedback, and implementing office policies
Ability to model and uphold the ethics, values, and culture of Flow Wellness
Strong organizational skills and attention to detail
Ability to work independently with minimal supervision
Demonstrated ability to prioritize tasks and manage multiple responsibilities simultaneously
Excellent written, verbal, and interpersonal communication skills
Proficiency with Google Workspace
Ability to build strong relationships with patients, coworkers, vendors, and leadership
Strong customer service mindset with a focus on delivering exceptional patient experiences

Preferred Qualifications

Two or more years of experience in marketing, sales, business development, community outreach, or client acquisition
Healthcare, wellness, medical aesthetics, fitness, hospitality, luxury services, home health, hospice, or senior living experience preferred
Proven success generating new business, referrals, or revenue growth
Experience managing marketing campaigns and lead conversion processes
Comfortable in learning and discussing wellness, weight loss, hormones, longevity, peptides, and premium healthcare services
Professional presence and presentation skills
Strong follow-up and relationship-building abilities
Creative thinker with a practical, results-oriented mindset

Work Environment & Physical Requirements

This position is performed in a medical office and procedure/exam room environment. Daily responsibilities may require:

Standing and walking for extended periods
Sitting, bending, reaching, and occasional kneeling
Lifting and carrying supplies or equipment up to 30 pounds
Working directly with patients in clinical and treatment settings
Following all infection control, safety, and HIPAA protocols
Minimal travel
Some evening and weekends
