Job Summary

We are seeking a dynamic and highly organized Office Administrator to join our team! In this vital role, you will be the backbone of our daily operations, ensuring the office runs smoothly and efficiently. Your energetic approach and exceptional organizational skills will support various administrative functions, enhance communication, and foster a welcoming, professional environment . This position offers an exciting opportunity to showcase your multitasking prowess, technical proficiency, and customer service excellence in a fast-paced setting.

Duties

Manage front desk operations answering phone systems, and providing outstanding customer service with professional phone etiquette.
Oversee calendar management and scheduling for meetings, appointments, and events using productivity software such as Microsoft Office and Google Workspace.
Handle data entry tasks with accuracy using spreadsheets, word processing, and bookkeeping tools to maintain organized records.
Coordinate office supplies procurement, filing systems, and document proofreading to ensure all administrative processes are efficient and error-free.
Support office management activities by assisting with clerical tasks, maintaining client communication records, and managing correspondence.
Utilize QuickBooks for basic bookkeeping duties including invoicing, expense tracking, and financial record keeping.
Provide general administrative support such as typing reports, managing emails, organizing files, and supporting team members with personal assistant responsibilities when needed.

Requirements

Proven experience in office management or administrative roles with a strong background in clerical work and customer support.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace applications, and productivity software.
Excellent computer literacy with the ability to operate multi-line phone systems and technical office equipment efficiently.
Strong organizational skills with keen attention to detail for data entry, filing, proofreading, and calendar management.
Experience working as a receptionist or bookkeeper is a plus; familiarity with front desk procedures is essential.
Ability to handle phone communication professionally while demonstrating excellent time management skills.
Knowledge of QuickBooks or bookkeeping software is required for financial recordkeeping tasks.
Demonstrated ability to prioritize tasks effectively in a fast-paced environment while maintaining a positive attitude.
