Overview

We are seeking a dynamic and highly organized Administrative Assistant to join our team! This vital role offers an exciting opportunity to support daily operations, streamline office functions, and enhance overall productivity. As an energetic and proactive professional, you will serve as the backbone of our office environment, ensuring smooth communication, efficient data management, and exceptional customer service. Your expertise in office management, technical proficiency, and strong organizational skills will help create a welcoming and productive workplace for all team members and visitors alike.

Duties

Manage multi-line phone systems with professionalism, demonstrating excellent phone etiquette and customer support skills.
Provide front desk coverage by greeting visitors, answering inquiries, and directing calls promptly.
Handle data entry tasks accurately using productivity software such as Microsoft Office and Google Workspace.
Maintain organized filing systems, including digital documents and physical records, ensuring easy retrieval.
Assist with calendar management and scheduling appointments for team members or executives.
Perform clerical duties such as proofreading documents, managing correspondence, and supporting office management initiatives.
Coordinate office supplies inventory, place orders as needed, and ensure the office environment remains efficient and welcoming.
Provide personal assistant support when required, including task prioritization and time management assistance.
Contribute to a positive customer experience through excellent customer service at the front desk and over the phone.

Qualifications

Proven administrative experience in an office setting with strong organizational skills.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Client Management Systems , and basic computer literacy.
Experience with data entry, filing systems, and document proofreading.
Excellent phone etiquette skills with experience managing multi-line phone systems.
Bilingual abilities are a plus to support diverse client needs.
Strong organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment.
Previous experience in insurance industry is advantageous.
Technical proficiency in office management tools combined with effective time management skills.
Licensed in Wisconsin for Insurance (Property & Casualty) or willingness to get licensed shortly after employment.
