Office Administrative Assistant

Job Title: Office Administrative Assistant

Department: Finance

Reports To: Accounting Manager

FLSA Status: Non-Exempt

Company Summary:

American Garage Door Supply manufactures and distributes specialty as well as standard; garage doors, parts, openers and controls.

Education and/or Experience

High School Diploma required, Minimum of 2 - 3 years related experience in office setting.

Introduction

The Office Administrative Assistant is responsible for reception duties along with assisting the accounting, sales, production and shipping departments daily functions in a distribution/light manufacturing/assembly type business.

Summary

Supports the accounting/finance function of the organization. Effectively answer phones and routes calls to appropriate Follows through on all accounting activities for the effective function of the financial side of the business. The individual must be a self-starter, dependable, trustworthy, responsible and accountable.

Essential Duties and Responsibilities include the following. Other duties may be assigned.

Ensures phone calls are answered and transferred to appropriate individual.
Uses professional people skills when greeting and directing guests and customers in the office.
Performs accurate data entry in a timely manner; to include accounts payable invoices, applying payments to customer accounts; generating sales orders/invoices from website order system.
Maintains filing system along with various office tasks, copying, emailing, scanning.

Excellent computer and organizational skills to assist in the accounting process.
Ability to solve practical problems and deal with a variety of variables.
Ability and willingness to be part of a team.
Ability to use professional phone and people skills
Ability and desire to build trust with colleagues, vendors and customers
Ability to organize, prioritize, and complete activities timely.
Ability to handle confidential information with great sensitivity

Language Skills

Ability to read and interpret general business policies and procedures. Ability to effectively present information and respond to questions from managers, team members and customers.

Mathematical Skills

Must be able to do routine arithmetic calculations. Must have the capacity to recognize numbers by sequence without transposition, be able to locate numerically filed documents quickly and refile accurately.

Computer Skills

To perform this job successfully, an individual must be proficient using email, word processing, spreadsheets and databases. Microsoft Office including; Microsoft Word, Outlook and Excel and Quickbooks.

Physical Demands

While performing the duties of this job, the employee is regularly required to sit. The employee may frequently lift and/or move up to 20 pounds.

Work Environment

The noise level in the work environment is usually quiet.

Language

Must be able to communicate in English effectively both verbally and in writing.
