Full Job Description

Job Description:

As our Client Coordinator, you'll help ensure our clients receive exceptional service from start to finish. You'll coordinate projects, manage logistics, support testing and training events, and build strong relationships with clients and union representatives. This role is well suited for someone who is organized, responsive, and proactive, enjoys solving problems, and is excited to contribute to a collaborative small business where every team member plays an important role.

Primary Responsibilities:

Serve as the primary contact for routine client communications, responding to questions, requests, and logistical needs in a professional and timely manner
Build and maintain positive working relationships with clients and union representatives through responsive, solution-oriented service
Coordinate testing schedules and logistics with clients, candidates, and proctors
Manage administrative processes as it relates to client onboarding and management
Prepare and distribute training materials, participant resources, and supporting documentation
Coordinate travel arrangements and logistical support for testing and training events
Prepare, edit, and organize client reports and other project documentation
Provide high-quality customer support by resolving routine client questions and operational issues
Anticipate client needs and identify opportunities to improve client experience
Support the day-to-day operations of a small business by assisting with administrative, project coordination, and operational support
Assist leadership with special projects and operational initiatives
Escalate sensitive, technical, contractual, or strategic matters to leadership with appropriate context and recommendations

Requirements:

Bachelor's degree preferred or equivalent combination of education and relevant work experience
2+ years of experience in client services, customer success, project coordination, administrative operations, or a related field
Excellent written and verbal communication skills
Strong organizational and time management skills with the ability to manage multiple priorities and deadlines
Strong interpersonal skills with the ability to build rapport and communicate effectively with clients.
High level of attention to detail and accuracy
Strong problem-solving skills and a proactive, solution-orientation approach
Ability to maintain confidentiality and exercise sound judgment when handling sensitive information
Proficiency with Google Workspace, Excel, and general document management
Chicagoland based with the flexibility to work remotely 70% of the time and travel as needed
