Full Job Description

Overview
West End Counseling & Wellness, LLC is a growing outpatient mental health group practice in Allentown, PA seeking a dependable and organized part-time Administrative Coordinator to support our intake, billing, and daily office operations. This position is onsite and plays an important role in helping our practice run smoothly and providing a welcoming, professional experience for clients and clinicians alike. The ideal candidate is detail-oriented, compassionate, organized, comfortable multitasking, and able to adapt to changing daily priorities in a busy office environment.

Responsibilities

Serve as a primary point of contact for new and existing clients by phone, email and in person
Assist with intake coordination, appointment scheduling, and client communication
Verify insurance benefits and assist with billing-related administrative taks
Collect and organize intake forms, insurance information and client documentation
Support clinicians and office operations by handling scanning, faxing, copying, and other administrative tasks
Maintain organized client records within electronic health record systems
Assist with general office coordination including maintaining supplies, stocking office areas, and helping ensure the office environment remains organized and professional
Help address client questions regarding scheduling, paperwork, and billing matters
Communicate professionally and compassionately with clients, clinicians, and insurance companies
Assist with practice communications and social media updates, including helpling create office or informational posts for platforms such as Facebook or Google Business Profile

Qualifications

Prior experience in a medical, mental health, or professional office setting preferred
Strong organization skills and attention to detail
Comfortable multitasking and managing a variety of administrative responsibilities
Professional communication and customer service skills
Ability to maintain confidentiality and professionalism at all times
Familiarity with insurance verification, intake coordination, or healthcare administrative work is helpful but training will be provided for the right candidate
Comfortable learning new technology systems and office software
Strong computer skills and familiarity with Google Workspace, Google Sheets and web-based systems preferred
Interest or experience in basic social media or office marketing support is a plus

Position Details

Part-time position (approximately 10-15 hours per week intially with potential for additional hours based on practice needs)
On-site in Allentown, PA
Hourly pay based on experieince
Flexible, supportive work environment within a growing mental health practice
