Full Job Description

Job Summary

We are a fast-growing plaintiff-side law firm seeking a highly motivated Client Intake Specialist to serve as the first point of contact for prospective clients. This is a critical, revenue-driving role focused on delivering an exceptional client experience while converting qualified leads into signed clients.

As a Client Intake Specialist, you will communicate with prospective clients, gather essential case information, assess potential case eligibility based on firm guidelines, and guide qualified individuals through the onboarding process. The ideal candidate is confident on the phone, thrives in a fast-paced, high-volume environment, builds rapport quickly, and is motivated by helping clients while achieving performance goals.

Key Responsibilities

Handle inbound calls, emails, text messages, and online inquiries from prospective clients in a professional, responsive, and empathetic manner.
Build trust and rapport with prospective clients while explaining the firm's services, intake process, and next steps.
Conduct detailed intake interviews and accurately document relevant information within the firm's case management and CRM systems.
Evaluate potential cases based on established firm criteria and determine whether they qualify for attorney review.
Convert qualified leads into signed clients by confidently guiding them through the engagement process.
Schedule consultations or coordinate next steps for qualified prospective clients.
Follow up promptly with prospective clients to answer questions, overcome objections, and complete the intake process.
Maintain accurate, organized, and timely documentation of all client communications and case information.
Collaborate with attorneys, case managers, and other departments to ensure a seamless transition from intake to case management.
Meet or exceed individual and team performance metrics related to responsiveness, conversion rates, productivity, and client experience.

Qualifications

Minimum of 1 year of experience in legal intake, customer service, sales, call center, or a client-facing role, preferably within a law firm or professional services environment.
Previous experience converting leads, meeting performance goals, or working in a metrics-driven environment is highly preferred.
Excellent verbal and written communication skills with the ability to build trust and establish rapport quickly.
Strong active listening, problem-solving, and customer service skills.
Highly organized with exceptional attention to detail and accurate documentation skills.
Comfortable working in a fast-paced, high-volume environment while managing multiple priorities.
Experience using CRM, case management, or other client management software.
Proficient in Microsoft Office and Google Workspace.
Bilingual (Spanish) is required.
Legal experience is preferred but not required for candidates with strong intake, customer service, or sales backgrounds.
