Reports to – Procurement Manager

Position Overview

Reporting to the Procurement Manager, the Procurement Coordinator will support the day-to-day execution of Baby2Baby's procurement function by coordinating purchasing activities, maintaining procurement systems and documentation, tracking orders and vendor information, and ensuring accurate reporting and data management. Working closely with departments across the organization, this role will help streamline procurement operations, support strategic sourcing initiatives, and contribute to the continued growth and efficiency of Baby2Baby's procurement function.

The Procurement Coordinator will work Monday–Friday. The work is performed in an office setting and is currently in office or on site 3–5 days per week. The primary office location is 5830 W. Jefferson Boulevard, Los Angeles, CA 90016, with potential on-site responsibilities at Baby2Baby's warehouse located at 16333 Raymer Street, Van Nuys, CA 91406, as well as the future headquarters in Santa Monica, CA.

Duties and Responsibilities

● Supports the day-to-day administration and execution of Baby2Baby's procurement activities, ensuring purchasing processes are organized, efficient, and accurately documented.

● Coordinates the full procurement lifecycle, including purchase requests, purchase orders, vendor confirmations, production schedules, shipments, deliveries, and invoice reconciliation.

● Owns the maintenance and accuracy of procurement databases, trackers, dashboards, and reporting tools to provide visibility into purchasing activity, vendor performance, budgets, inventory risks, and cost savings.

● Maintains centralized procurement records, including vendor contact information, pricing history, lead times, minimum order quantities, payment terms, contracts, and product specifications.

● Supports vendor management through onboarding, ongoing communications, documentation collection, and follow-up to ensure timely execution and strong working relationships.

● Conducts supplier and product research, prepares comparison analyses, and assists with sourcing initiatives, benchmarking, and evaluation of new products and vendors.

● Assists in developing and maintaining procurement reporting, dashboards, and metrics that support forecasting, leadership visibility, and operational decision-making.

● Coordinates closely with the Warehouse team to align purchasing timelines with receiving capacity, inventory management, and distribution schedules.

● Partners with internal departments to track purchasing requests, communicate order status, and ensure procurement priorities are executed effectively.

● Identifies opportunities to improve procurement processes through better documentation, workflow management, technology, and data organization.

● Supports cross-functional procurement initiatives and strategic projects as assigned.

● Onsite involvement at Baby2Baby events and distributions across Los Angeles, as needed.

● Other duties as assigned.

Required Qualifications

● Bachelor's degree or equivalent combination of education and relevant experience.

● 2+ years of experience in procurement, purchasing, operations, logistics, supply chain, administration, or a related field.

● Highly organized with exceptional attention to detail and the ability to manage multiple priorities in a fast-paced environment.

● Strong analytical and problem-solving skills with the ability to organize, interpret, and maintain accurate data.

● Excellent written and verbal communication skills, with the ability to collaborate effectively across departments and build positive working relationships with vendors.

● Demonstrated ability to manage multiple projects simultaneously while meeting deadlines and maintaining accuracy.

● Proficiency with Microsoft Office and Google Workspace, particularly Excel and Google Sheets.

● Comfortable learning new systems and technology platforms, with an interest in leveraging tools to improve operational efficiency.

● Ability to work independently, exercise sound judgment, and proactively identify and resolve issues.

● Strong commitment to Baby2Baby's mission and values.

Preferred Qualifications

● Experience supporting procurement, purchasing, supply chain, inventory management, or warehouse operations.

● Experience maintaining reports, dashboards, or operational data used to support business decisions.

● Experience researching suppliers, comparing products, or coordinating vendor relationships.

● Experience working in a nonprofit, humanitarian, or mission-driven organization.

● Familiarity with AI tools or technology platforms that support process improvement, reporting, or operational efficiency.
