Full Job Description

Overview

We are seeking a detail-oriented Workers' Compensation Surgery Scheduler to support our busy orthopedic practice. This role serves as the primary point of contact for Workers' Compensation patients throughout the surgical process, coordinating care from scheduling through post-operative follow-up. The ideal candidate has strong knowledge of Workers' Compensation claims, experience working in Epic EMR, and excels in delivering exceptional patient service while collaborating with physicians, adjusters, case managers, and clinical teams.

Responsibilities

Coordinate Workers' Compensation surgical cases from scheduling through post-operative follow-up.
Schedule surgeries, pre-op and post-op appointments, diagnostic testing, and required medical clearances.
Verify insurance, obtain Workers' Compensation authorizations, and coordinate with adjusters and nurse case managers to ensure timely approvals.
Serve as the primary liaison between patients, physicians, clinical staff, and external partners, providing exceptional service and support throughout the surgical process.
Educate patients on physician-directed pre-operative instructions and coordinate required surgery education.
Prepare patient charts, maintain accurate demographic and insurance information in Epic EMR, and manage physician referrals and related documentation.
Coordinate physician calendars, correspondence, forms, and authorization requests as needed.
Ensure all surgical logistics, including operating room scheduling and special equipment requests, are completed prior to procedures.
Collaborate with the billing team by providing documentation, surgical reports, and information needed for audits and claims.
Provide administrative and clinical support as needed to ensure efficient practice operations.

Qualifications

High School Diploma or GED
Minimum of 2 years of Workers' Compensation claims or Workers' Compensation coordination experience
Experience using Epic EMR
Strong organizational, communication, and multitasking skills
Ability to work effectively with patients, physicians, insurance carriers, and multidisciplinary healthcare teams
Previous experience as a Patient Service Representative (PSR) or Medical Assistant (MA)
Experience in an orthopedic or orthopedic surgery practice
Knowledge of surgical scheduling and prior authorization processes
