Job Summary

We are seeking energetic and personable Front Desk Staff to be the welcoming face of our organization. In this vital role, you will manage front office operations, provide exceptional customer service, and ensure smooth administrative workflows. Your enthusiasm and organizational skills will help create a positive environment for visitors, clients, and team members alike. This paid position offers an exciting opportunity to develop your office management expertise while supporting daily operations with professionalism and efficiency.

Duties

Greet visitors, clients, and staff with a friendly and professional demeanor, ensuring they feel welcomed and valued
Answer multi-line phone systems promptly, using proper phone etiquette to direct calls accurately
Manage front desk activities including scheduling appointments, maintaining calendars, and coordinating meetings
Handle clerical tasks such as filing, data entry, proofreading documents, and managing correspondence
Support office management by organizing supplies, maintaining cleanliness, and overseeing general administrative functions
Assist with client communication and support tasks to enhance customer experience
Use Microsoft Office applications (Word, Excel, Outlook) proficiently for document creation, email correspondence, and record keeping

Requirements

Bilingual proficiency is highly desirable to effectively communicate with diverse clients and visitors
Previous office experience or administrative background is essential for understanding office workflows
Strong computer literacy with excellent skills in Microsoft Office Suite and general computer skills
Demonstrated experience in front desk or receptionist roles with multi-line phone systems knowledge
Exceptional organizational skills with the ability to multitask efficiently in a fast-paced environment
Excellent phone reception skills coupled with proper phone etiquette and customer service orientation
Proven clerical experience including filing, proofreading, typing, and calendar management
Ability to handle confidential information discreetly while providing outstanding customer support
Strong time management skills to prioritize tasks effectively and meet deadlines
Personal assistant or office management experience is a plus for supporting daily operations seamlessly
