Russell Landscaping is a growing, well-established lawn care and maintenance company serving residential homeowners and commercial clients. We are looking for a sharp, organized, client-first Office Manager and CSR to be the operational heartbeat of our business.

This is not a back-office data entry job. This is a high-impact, client-facing role that sits at the center of everything we do. The right person will own client relationships, keep our field operation running without gaps, and play a direct role in the growth of this company.

We have spent years building a reputation in Metro North Boston for reliable, high-quality residential lawn care and maintenance. Our clients stay with us — because we show up, we communicate, and we do what we say we are going to do. We offer comprehensive maintenance packages, turf management programs, and seasonal services that keep our clients' properties looking exceptional year-round.

We are a small, hardworking team that takes pride in what we do. We use LMN (Landscape Management Network) software to run our entire operation — from client intake to scheduling, estimating, and billing. This is a company where your work is seen, your voice matters, and doing a great job is recognized and rewarded.

The Role

As our Office Manager and Customer Service Representative, you are the first voice clients hear and the person who makes sure nothing falls through the cracks. You bridge the gap between our field crews and our clients, keeping communication clear, schedules tight, and clients confident that they are in good hands.

You will work closely with the owner and operations manager every single day. You will have real ownership of your responsibilities, a clear weekly rhythm to follow, and the tools and support to do your job at a high level.

What You Will Own

CLIENT COMMUNICATION & RELATIONSHIP MANAGEMENT

Answer all inbound calls, texts, and emails within 2 business hours — every time
Build genuine relationships with our 150+ recurring clients so they feel known and valued, not just serviced
Handle client concerns, complaints, and scheduling changes with professionalism and a calm, solutions-oriented approach
Send personalized upsell communications to existing clients for add-on services such as turf management and tick and mosquito programs
Follow up on all open proposals and upsell offers within 3 business days via phone and text
Manage and execute the client referral program — tracking referrals, sending thank-you credits, and logging all activity

OPERATIONS & SCHEDULING

Maintain and manage the full client schedule in LMN — ensuring no gaps, no missed visits, and no scheduling conflicts
Prepare and send the daily operations summary to the operations manager each afternoon before end of business
Coordinate with the operations manager on crew logistics, client access notes, and any field issues that need to be communicated to clients
Track and log all inbound leads in LMN the same day they arrive, with correct source tags and service types
Respond to all new inbound leads within 2 hours during business hours — a critical standard we do not compromise on

ADMINISTRATIVE & FINANCIAL

Manage invoicing, payment collection, and account follow-ups through LMN
Maintain clean, accurate client data in LMN — every client record should be current and complete
Support the owner with weekly reporting: leads in, proposals sent, contracts closed, upsell conversions, and revenue added
Handle general office administration including vendor communication, supply ordering, and document management
Maintain the weekly upsell tracker and present results to the owner every Monday morning

Responsibilities: (This list may not include all the duties assigned)

2+ years of experience in a customer service, office management, or client-facing administrative role (not necessary for the right person)
Experience in the home services, landscaping, construction, or trades industry is a strong plus — but not required if you are a fast learner
Comfortable with field service or CRM software — experience with LMN is a significant advantage
Excellent written and verbal communication — you represent our company in every message you send
Proficient in basic office tools: email, Google Workspace or Microsoft Office, and mobile communication
Must be local to Metro North Boston and able to work in-person, Monday through Friday, 8 AM to 5 PM
Reliable, punctual, and self-directed — this role requires someone who manages their own time without hand-holding
