ABA Operations CoordinatorJoin Our Team

We are looking for a highly organized, motivated, and compassionate individual who enjoys variety in their workday, is solution-focused, and thrives in a collaborative environment. Position Overview

The ABA Operations Coordinator plays a vital role in supporting the daily operations of our ABA clinic. This position assists with administrative tasks, insurance and billing processes, family communication, staff support, marketing initiatives, and overall clinic organization. This role is ideal for someone who is adaptable, eager to learn, and enjoys wearing many hats in a fast-paced environment.

ResponsibilitiesAdministrative Support

Answer phones and respond professionally to emails.
Schedule appointments and maintain provider calendars.
Welcome families and provide excellent customer service.
Assist with intake paperwork and patient documentation.
Maintain organized electronic and paper records.
Support the day-to-day operations of the clinic.

Insurance & Billing Support

Verify insurance eligibility and benefits.
Track authorizations, renewals, and expiration dates.
Assist with insurance claims, denials, appeals, and follow-up.
Communicate with insurance companies regarding billing questions.
Organize Explanation of Benefits (EOBs) and billing records.
Support accurate documentation for insurance compliance.

Clinical & Staff Support

Prepare, print, laminate, and organize therapy materials.
Maintain treatment supplies and therapy equipment.
Support BCBAs, RBTs, and clinical staff with operational needs.
Help maintain an organized, clean, and professional clinic environment.
Assist with special projects that improve clinic efficiency.

Marketing & Community Outreach

Create flyers, newsletters, and marketing materials using Canva or similar software.
Assist with social media content and scheduling.
Support community outreach events and educational presentations.
Help promote clinic programs and services within the community.

QualificationsRequired Qualifications

Excellent organizational and time-management skills.
Strong written and verbal communication skills.
Professional, dependable, and positive attitude.
Ability to multitask and prioritize competing responsibilities.
Strong problem-solving skills and attention to detail.
Comfortable learning new software and technology.
Ability to maintain strict HIPAA compliance and protect confidential patient information.
Ability to work collaboratively with clinical staff while also working independently.
Enjoy working with children and their families in a compassionate and respectful manner.
Ability to occasionally lift, carry, or move supplies and equipment weighing up to 50 pounds.

Preferred Qualifications

Administrative, healthcare, or medical office experience.
Experience with insurance verification, billing, claims, or denial management.
Experience working in ABA, pediatric healthcare, or therapy services.
Familiarity with Medicaid and commercial insurance processes.
Canva, social media, or marketing experience.
