Position Overview

Pay range: $55,180.00 - $89,670 / year

Shifts: full-time

Job Description

Performs secretarial and administrative duties for daily operations. Responds promptly to requests, prepares correspondence, maintains records, charts, spreadsheets, and databases, screens calls, communicates effectively, organizes work, maintains meeting materials, arranges travel, processes expenses and paperwork, and assists with special projects.
Composes, transcribes, types, edits, and proofs documents; takes meeting minutes; assists with manuscripts and presentations. Produces professional, accurate, error-free documents in a timely manner.
Schedules meetings and maintains senior leadership calendars. Prepares agendas, reminders, catering, equipment, minutes, and presentations. Coordinates vendors and schedules appointments based on priorities, travel, and preparation time.
Prepares materials for meetings by creating agendas, packets, presentations, and distributing information. Organizes events and ensures participants, equipment, and meeting needs are ready.
Assists with coordinating meetings, conferences, and special events. Schedules locations, arranges facilities, catering, speakers, technology, materials, RSVPs, and event setup/cleanup while supporting visitors and other executive assistants.
Develops and maintains organized filing systems. Keeps records updated, archived, and accessible while ensuring documents are filed promptly and easy to retrieve.
Inventories, requisitions, and maintains office supplies. Follows Lawson requisition procedures, maintains supply levels, and processes invoice requisitions.
Performs other duties as assigned.

Qualifications

High school diploma or equivalent and a minimum of seven (7) years progressively responsible administrative, office management and secretarial experience required. A Bachelor's degree is preferred and may substitute for up to three year's experience requirement. Experience in managing multiple calendars at an executive level.
