Job Summary

We are seeking a dynamic and highly organized Office Manager to oversee daily administrative operations and ensure the smooth functioning of our office & field environment at Rooftop. This role is vital in maintaining efficient workflows, supporting staff, schedules and providing exceptional customer service. The ideal candidate will bring strong office management skills, technical proficiency, and a proactive attitude to foster a productive and welcoming workplace. This position offers an exciting opportunity to lead administrative functions and contribute to the overall success of our organization.

Responsibilities

Manage office operations, including greeting visitors, answering call ins, and directing calls with professional phone etiquette.
Oversee office supplies inventory, procurement, and filing systems to ensure operational efficiency.
Coordinate calendar management, scheduling appointments, meetings, and events.
Handle data entry tasks accurately using productivity software such as Microsoft Office and Google Workspace.
Support bookkeeping activities including invoicing, expense tracking, and basic QuickBooks entries.
Assist in collecting past due invoices.
Filling of warranties, tax and employment information.
Issue payments to subcontractors.
Assist with clerical duties such as proofreading documents, maintaining filing systems, and managing correspondence.
Provide excellent customer support by addressing inquiries promptly and professionally, whether via phone or email.
Maintain office equipment and troubleshoot technical issues related to computer literacy and office technology tools.
Support additional administrative tasks such as proofing documents, managing time effectively, and ensuring overall organizational productivity.

Qualifications

Proven experience in office management or administrative roles with strong organizational skills.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and basic bookkeeping software like QuickBooks.
Excellent communication skills with a professional phone manner; bilingual abilities are a plus.
Demonstrated ability to handle multi-line phone systems, data entry, filing, and clerical tasks efficiently.
Prior experience as a medical or dental receptionist or personal assistant is advantageous.
Strong typing skills with attention to detail for proofreading and document accuracy.
Knowledge of office equipment maintenance and troubleshooting technical issues related to computers or office technology.
Ability to prioritize tasks effectively using time management strategies; experience in customer service is highly valued.
