Patient Communications Coordinator – Stillwater & Minneapolis

Salary: $58,500 – $68,000 per year, based on experience Full-time | Monday–Friday | In-person

Smile Orthodontics is looking for a Patient Communications Coordinator to lead our Patient Communications teams supporting our Stillwater and Minneapolis locations. This is a hands-on leadership role for someone who knows how to motivate a team, coach to performance, create accountability, and keep the patient experience at the center of everything they do.

What You'll Do

As the Patient Communications Manager, you will lead and support the Patient Communications teams across our Stillwater and Minneapolis locations. You will be responsible for creating an enthusiastic, high-performing team while ensuring patients receive exceptional service every time they interact with us.

Your responsibilities will include:

Lead, coach, and motivate the Patient Communications teams with enthusiasm and positivity.
Set clear expectations and hold team members accountable to individual and team goals.
Monitor key performance metrics and create action plans to improve results.
Maintain a low missed-call rate and ensure calls are answered promptly and professionally.
Coach team members on phone communication, patient experience, scheduling, and service.
Provide ongoing feedback, recognition, and development opportunities.
Identify opportunities to improve workflows, efficiency, and the overall patient communication experience.
Help the team consistently achieve goals related to call volume, scheduling, patient engagement, and other key performance indicators.
Partner with Location Coordinators and leadership to ensure seamless communication between the Patient Communications Team and our orthodontic locations.
Help train and onboard new Patient Communications team members.
Foster a positive, encouraging, and accountable team culture.
Use data and performance metrics to identify trends and opportunities for improvement.
Step in to support the team when needed and lead by example.

Required Qualifications:

College degree or relevant professional certificate required.
Previous leadership, management, or team coaching experience.
Proven ability to coach, motivate, and develop team members.
Strong communication and interpersonal skills.
Demonstrated ability to set goals, track performance, and achieve results.
Strong organizational skills and attention to detail.
Ability to work in a fast-paced environment while managing competing priorities.
Professional, positive, and enthusiastic attitude.
Strong problem-solving and decision-making skills.
Ability to hold team members accountable while maintaining a supportive and encouraging environment.
Ability to handle confidential information with professionalism, integrity, and sound judgment.
Proficiency with computers and common workplace technology.

Preferred Qualifications:

Previous call center or contact center management experience.
Experience managing a high-volume phone environment.
Experience working with call metrics, scheduling metrics, or other performance KPIs.
Healthcare, dental, orthodontic, or medical office experience.
Experience with coaching and performance development.
Experience leading teams across multiple locations.
