Full Job Description

Role Overview:

The Bookkeeper/Administrative Assistant is a critical operational force within the association, directly supporting the General Manager and partnering closely with Executive Leadership and Office support.

Strong bookkeeping capability is essential, as you will support daily financial processing, documentation accuracy, and compliance. This role demands precision, focus, and exceptional organizational discipline. You’ll manage A/P & A/R, collection processes, assist with administrative workflows, communicate efficiently and assist in coordination with key contributors in a dynamic, fast-moving environment.

Key Responsibilities

Own communication excellence: Answer calls promptly and professionally, ensuring every interaction reflects high‑quality customer service and operational readiness.
Maintain critical resident data: Update and manage resident information daily, weekly, and monthly; generate reports for the General Manager and Board of Directors.
Process financial documentation: Open and distribute mail, prepare accounts payable invoices, match work orders and receiving tickets, and code invoices for managerial approval.
Coordinate property transitions: Process closing statements, update ownership records, and ensure accurate A/R changes for maintenance coupon distribution.
Champion safety: Follow all safety protocols, maintain a hazard‑free workspace, and report unsafe conditions immediately.
Adapt and support: Perform additional duties as needed in a fast‑paced, evolving operational environment.

Skills & Qualifications

Strong proficiency in Microsoft Windows and general computer literacy.
Solid accounting and administrative background.
Accurate coding, processing, and reconciliation of invoices
Experience with A/P and A/R workflows
Matching purchase orders, work orders, and receiving tickets
Maintaining organized financial records and supporting monthly reporting
Basic understanding of general ledger structure and financial documentation
Ability to identify discrepancies and resolve them promptly
Exceptional time‑management and prioritization skills.
High‑level customer service capability with polished interpersonal communication.
Confident, self‑directed, and able to anticipate needs in a rapidly shifting environment.
Professional phone presence and strong office management skills.

Physical Requirements

Ability to lift up to 50 lbs.
Frequent standing, sitting, walking, and occasional climbing.
Extended computer use and phone communication.
Ability to recognize auditory and visual emergency alarms.
Flexibility to work extended hours, weekends, and attend Board meetings as needed.
