Pediatric Front Office and Referral Coordinator (Spanish Speaking Required)

Location: Total Pediatric Care – Fort Lauderdale, FL

About Us:

Total Pediatric Care is a warm, family-oriented pediatric practice dedicated to providing exceptional care to children and their families. We take pride in delivering a welcoming experience for our patients while ensuring seamless practice operations.

Position Overview:
We are seeking a dedicated Front Office & Referral Coordinator to oversee front desk operations and contribute to the smooth daily workflow of our pediatric practice. This role requires excellent communication skills, a warm and professional demeanor, and the ability to manage complex tasks with efficiency and empathy. The ideal candidate will work closely with the Medical Director, Practice Owner, and Billing Department to ensure a seamless and family-centered experience for every patient.

Spanish-speaking is required to effectively communicate with our diverse patient population.

Key Responsibilities:

Front Office Coordination:

Greet and check in patients with warmth, professionalism, and compassion
Manage scheduling, appointment reminders, and patient inquiries in a timely manner
Create and maintain an inviting and efficient front office experience for families

Insurance & Referral Management:

Verify insurance eligibility and benefits before scheduled appointments
Submit and track referrals and authorization requests efficiently and accurately
Collaborate with the billing team to reduce claim denials and optimize reimbursement

Office Operations Oversight:

Manage daily administrative tasks and maintain front desk workflow
Ensure compliance with office policies, procedures, and standards
Maintain a clean, organized, and well-functioning front office environment

Collaboration & Leadership:

Work closely with leadership to enhance operational efficiency
Provide guidance and leadership to front office staff as needed
Identify areas for improvement and contribute solutions to optimize workflow

Qualifications:

✅ Fluent in Spanish – must be able to communicate confidently with Spanish-speaking families
✅ Strong responsiveness and ability to prioritize multiple tasks efficiently
✅ Previous experience in a medical office setting (pediatrics strongly preferred)
✅ Solid understanding of insurance verification and referral processes
✅ Excellent interpersonal skills with a customer-first approach
✅ Ability to manage difficult conversations with empathy and professionalism
✅ Comfortable working with EMR systems; eClinicalWorks experience is a plus
✅ Highly organized, detail-oriented, and team-focused
✅ Proven ability to collaborate with clinical and billing leadership
