Executive Assistant / Office Manager – Commercial Real Estate

Location: San Antonio, Texas
Position: Full-Time, In-Office
Work Arrangement: On-site only; this is not a remote or hybrid position

About the Position

We are seeking an exceptional Executive Assistant / Office Manager to support the principal of an active commercial real estate development business in San Antonio.

This is a high-trust, high-responsibility position for someone who is exceptionally organized, polished, proactive, and comfortable working in a sophisticated and fast-moving business environment.

The right person will do considerably more than manage a calendar. This individual will help keep the principal and office organized, anticipate needs, follow up on outstanding matters, coordinate vendors, oversee routine office financial obligations, and make sure important administrative details do not fall through the cracks.

The ideal candidate is intelligent, professional, discreet, resourceful, and capable of understanding the context behind what they are working on. Experience in commercial real estate, development, construction, finance, investment management, law, architecture, engineering, a family office, or another professional services environment would be particularly valuable.

Key Responsibilities

Manage the principal's calendar, appointments, meetings, scheduling, and reminders
Coordinate meetings with attorneys, lenders, brokers, architects, engineers, contractors, consultants, investors, tenants, vendors, and other business partners
Monitor priorities, deadlines, follow-ups, and outstanding items
Help ensure commitments and action items are completed on time
Draft and prepare professional emails, correspondence, documents, and meeting materials
Organize files, agreements, invoices, proposals, reports, and other business records
Assist with travel arrangements, reservations, itineraries, and related logistics
Serve as a professional point of contact for the principal and office
Manage day-to-day office operations
Coordinate and manage office vendors and service providers
Track recurring office obligations including rent, utilities, insurance, subscriptions, service contracts, and similar expenses
Receive, organize, review, and route invoices for approval and payment
Coordinate with bookkeeping, accounting, and other financial professionals as needed
Follow up with vendors regarding proposals, invoices, scheduling, incomplete work, and other outstanding matters
Maintain organized records of contracts, invoices, payments, vendor information, and recurring obligations
Assist with administrative aspects of commercial real estate and development projects
Help organize due diligence materials, contracts, closing items, project information, and development-related documentation
Identify problems or missing information before they become urgent
Handle confidential business, financial, and personal information with complete discretion
Take ownership of administrative matters and reduce the amount of day-to-day management required from the principal

Qualifications

Prior experience as an Executive Assistant, Senior Administrative Assistant, Office Manager, Executive Office Manager, Project Coordinator, or similar position
Experience supporting a business owner, senior executive, partner, principal, or other high-level professional strongly preferred
Approximately 5+ years of relevant professional experience preferred
Bachelor's degree preferred
Excellent written and spoken English
Strong proficiency with Microsoft Outlook, Word, Excel, PowerPoint, Adobe/PDF documents, electronic calendars, and cloud-based file systems
Experience with accounts payable, invoices, bookkeeping coordination, expense management, or office financial administration is highly desirable
Experience coordinating vendors and outside service providers is highly desirable
Commercial real estate, development, construction, investment, finance, legal, architecture, engineering, or related professional experience is a significant plus
Must be able to work full-time in our San Antonio office
