Position Title: Project Coordinator/Administrator
Location: Jericho, NY (On-Site)

FLSA Status: Exempt
Reports to: Director of Innovation and Commercialization

Position Summary:

The Project Coordinator/Administrator is responsible for planning, coordinating, and driving the successful execution of cross-functional projects from concept through completion. This role serves as a central point of communication among internal departments to ensure projects are completed on time, within budget, and aligned with company objectives in the food manufacturing space.

Key Responsibilities:

Assist with coordinating project activities and timelines.
Maintain project schedules and track key milestones.
Monitor project tasks and follow up with team members regarding deadlines.
Support project managers with day-to-day project administration.
Assist in identifying and communicating project issues or delays.
Schedule meetings and prepare agendas.
Document meeting notes and track action items.
Communicate project updates to team members
Coordinate activities between departments, vendors, suppliers and external partners.
Maintain project files, reports, and related documentation.
Prepare status reports and project updates.
Track project expenses and assist with budget reporting.
Ensure documentation is organized, accurate, and up to date.
Assist with purchase orders, invoices, and vendor documentation.
Support contract and document management activities.
Perform other project-related administrative duties as assigned.

Ideal Candidate Profile:

Minimum of 2 years of project coordination, administrative, operations, manufacturing, or related experience. Food experience a plus.
Experience supporting multiple projects simultaneously preferred.
Excellent organizational skills and attention to detail.
Strong communication skills, both written and verbal.
Ability to work on-site in Long Island, NY, and collaborate effectively in a team environment.
