Job Title: Legal Assistant – Business Law, Commercial Litigation, Probate

Location: Downers Grove, Illinois

Job Type: Full-Time (in-person)

Reports To: Managing Partner, Partner, and Associate Attorney

About Our Firm

We are a 10-person law firm serving clients in business law, commercial litigation, probate (both decedent’s estates and guardianships), trust administration, and estate planning. We pride ourselves on offering high-quality, personalized legal services, with a strong emphasis on quality, diligence, and compassion. As a small firm, we value team players who are proactive, detail-oriented, and comfortable wearing multiple hats.

Position Overview

We are seeking an organized, detail-oriented, and hard-working Legal Assistant to support our attorneys in managing client matters from intake through file closing for the areas of commercial litigation, business law, and probate. The ideal candidate will have experience in Illinois litigation, business, and probate workflows. The candidate will have either experience in or the ability to learn online court, county, and state filing systems for litigation, business, and probate matters. This role involves managing the docketing, calendaring, and filing systems for two partners and an associate attorney in the areas of litigation, business transactions, and probate. We are looking for a candidate who is honest, positive, and thrives in a law firm environment, which can be stressful at times.

Key Responsibilities

· Manage and maintain the calendars, dockets, and deadlines for three attorneys

· Schedule and assist preparing for in-person and remote meetings, conferences, hearings, and deadlines, including communications with clients, opposing counsel, experts, witnesses, etc.

· Assist with general case management for litigation, business transactional, probate, and guardianship matters, with emphasis on docket tracking, calendaring, deadline management, scheduling, and file organization

· Prepare, proofread, and assemble legal documents (e.g., notice of filings, certificate of service, pleadings, discovery, and legal notices)

· File documents electronically using Illinois e-filing systems (eFileIL, ECF, and county-specific platforms)

· Maintain physical and electronic files in accordance with firm policies

· Communicate professionally with clients, courts, and third parties

· Handle general administrative tasks as needed in a small-office environment

Qualifications

Required:

· 5+ years of experience in a law firm (small/mid-sized firm experience preferred)

· Ability to manage calendaring and docketing system for three attorneys

· Familiarity with Illinois court filing systems (especially for state courts)

· Proficiency with Microsoft Suite (specifically MS Outlook, Word, and Excel) and Adobe Acrobat (specifically bates-stamping, redactions, signatures via Adobe-Sign)

· Capable of conducting basic internet searches, using online platforms such as Google

· Excellent organizational, proofreading, and people skills

· Ability to manage multiple tasks and deadlines independently

· Ability to learn online filing and search systems (including ChatGPT and Claude)

· Professional demeanor and strong interpersonal communication skills

· Ability to work in-person during normal business hours (8:30am to 5pm), with a valid driver’s license and personal car required

Preferred:

· Experience with client onboarding, client follow-up, and file closing

· Notary Public (or willingness to obtain)
