Full Job Description

Our Executive Administrative Assistant provides high-level administrative support to Midwest Regional Bank’s Chief Executive Officer and serves as Secretary to the Bank’s Board of Directors and Bank Holding Company. This position requires exceptional organization, attention to detail, discretion, and professionalism, as well as the ability to manage confidential information and multiple priorities.

Key responsibilities include preparing and assembling materials for Board meetings, gathering reports and information for Board packets, recording and maintaining accurate meeting minutes, and maintaining the Bank Holding Company’s stock register. The Executive Administrative Assistant also coordinates and prepares materials for shareholder meetings, including recording voting results and maintaining related documentation.

In addition, this position provides administrative assistance to the CEO as requested and coordinates Bank social events and employee functions. The successful candidate will be proactive, dependable, highly organized, and comfortable working independently while maintaining a high level of accuracy and professionalism.

Essential Duties and Responsibilities

Prepares the Bank’s monthly Board of Directors meeting packet by gathering and assembling reports and materials submitted by various Bank departments.
Serves as Secretary to the Bank’s Board of Directors and records accurate minutes of Board meetings. Records minutes for other meetings as requested.
Organizes and coordinates Bank social events, including VIP luncheons, holiday luncheons, and holiday parties.
Maintains the Bank Holding Company’s shareholder stock register and stock certificates.
Prepares materials and correspondence for mailing to shareholders in connection with the annual shareholder meeting, including the annual report and related materials.
Maintains accurate records of shareholder voting and reports voting results to the Proxy Committee at the annual shareholder meeting.
Makes business travel arrangements for the CEO and other executives as requested.
Maintains strict confidentiality of all non-public information concerning the Bank, including customer and prospective customer information, financial information, customer lists and records, proprietary business information, and other confidential data.
Performs other duties and responsibilities as assigned.

Job Requirements

Associate degree required; additional education or relevant professional training is a plus
Minimum of two years of relevant administrative or executive support experience
Proficiency in Microsoft Office, including Word and Excel
Exceptional organizational and time-management skills with the ability to manage multiple priorities and deadlines effectively
Thrives in a high-expectation environment and takes pride in producing work that is accurate, timely, and exceptionally well organized
Demonstrates initiative and the ability to anticipate needs, identify potential issues, and take proactive action to resolve them

Excellent written and verbal communication skills

Ability to handle confidential and sensitive information with discretion
