Job Summary

We are seeking an energetic and highly organized Personal Assistant to provide comprehensive administrative support to senior executives and ensure the smooth operation of daily activities. This role is vital in managing schedules, coordinating projects, and handling confidential information with professionalism and discretion. The ideal candidate will thrive in a fast-paced environment, demonstrating exceptional organizational skills, proactive problem-solving abilities, and a positive attitude that drives productivity and efficiency.

Duties

Manage and coordinate complex calendars, including scheduling meetings, appointments, and business travel arrangements using Microsoft Outlook Calendar and other productivity software
Provide executive administrative support by preparing correspondence, reports, and presentations with excellent writing skills and attention to detail
Organize and facilitate events, meetings, and internal communication to ensure seamless execution of company initiatives
Handle phone etiquette professionally while managing incoming calls, messages, and inquiries with promptness and courtesy
Perform data entry, bookkeeping tasks using QuickBooks, and maintain accurate filing systems for confidential documents
Assist with project coordination by tracking deadlines, preparing agendas, taking minutes, and ensuring timely follow-up on action items
Support office management duties such as ordering supplies, managing office equipment, and overseeing general administrative functions to optimize workflow

Skills

Proven experience as a personal assistant or executive assistant with strong organizational skills and the ability to manage multiple priorities effectively
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), productivity software, and video conferencing tools such as Zoom or Teams
Excellent typing speed combined with proofreading and transcription skills for accurate document preparation
Experience with bookkeeping software like QuickBooks along with basic accounting knowledge for managing invoices and financial records
Strong internal communication skills to collaborate effectively with C-suite executives and team members across departments
Exceptional calendar management capabilities including scheduling meetings across different time zones and managing business travel logistics
Demonstrated ability to handle confidential information discreetly while maintaining high levels of professionalism
Adept at organizing events from planning stages through execution while ensuring all details are meticulously managed
Technical proficiency in office management tools such as DocuSign for electronic signatures and data entry systems
Outstanding customer service skills combined with phone etiquette that fosters positive relationships internally and externally
