Full Job Description

Job Summary
We are seeking a dynamic and detail-oriented Bookkeeper/Administrative Assistant to join our team! In this vital role, you will manage financial records, handle administrative tasks, and provide exceptional support to ensure the smooth operation of our office. Your energetic approach and organizational skills will help keep our business running efficiently while delivering outstanding customer service. This position offers an engaging environment where your multitasking abilities and proactive attitude will shine.

Duties

Perform all bookkeeping duties using QuickBooks Desktop including processing; weekly payroll, bank reconciliations, customer order invoices and payments , vendor invoices and payments , collections calls on past due accounts, new customer credit applications, incoming and outgoing mail, customer and vendor profile maintenance.
Support front desk responsibilities, greeting visitors and clients with professionalism and warmth
Support phone systems, answer inquiries, and direct calls efficiently using proper phone etiquette
Handle data entry, filing, and proofreading to ensure all documents are accurate and organized
Provide customer support via phone and email, addressing inquiries promptly and courteously

Requirements

Proven experience with QuickBooks accounting software and general office management
Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment
Previous bookkeeping, accounting, clerical, administrative experience, preferably in a manufacturing setting such as bookkeeper, AR/AP processing, administrative roles
Exceptional phone etiquette skills with experience managing multi-line phone systems
Attention to detail in proofreading, data entry, and record keeping tasks
Ability to handle confidential information discreetly while maintaining a positive attitude and excellent customer service skills
