Full Job Description

Job Title: Service Coordinator

Reports to: Vice President of Maintenance

Department: Maintenance Department

SUMMARY:

Coordinates and supports the scheduling, execution, and tracking of enhancement, irrigation, and snow services. This role ensures that work is properly scheduled, crews are equipped, and services are completed efficiently and on time. The Service Coordinator plays a key role in connecting field operations, account management, and administrative functions to ensure a high level of service delivery and customer satisfaction across all service lines, while also supporting irrigation service growth through estimate development.

PRIMARY RESPONSIBILITIES:

Coordinate and manage daily and weekly schedules for enhancement, irrigation, and snow service crews.

Work closely with respective department managers to prioritize work and meet client expectations.

Support management to ensure all jobs are properly scheduled, routed, and assigned in company systems (Aspire or equivalent).

Track and update service tickets, work orders, and job progress.

Communicate schedule changes, delays, or issues with crews, managers, and clients as needed.

Assist with change orders and service adjustments, ensuring proper documentation and communication.

Maintain accurate and up-to-date job and scheduling data.

Coordinate with vendors and internal teams to ensure timely delivery of materials and services.

Assist in managing route efficiency and crew productivity.

Provide administrative support related to service operations as needed.

Work in a fast-paced environment while operating with a high sense of urgency, especially during snow events.

Discover ways to improve current systems and layouts if needed, collaborate with teams to review and implement changes. Communicate and train maintenance staff as needed.

Must uphold company policies, procedures, and company core values at all times.

ENHANCEMENTS & IRRIGATION SERVICES:

Coordinate irrigation service requests, including repairs, inspections, and emergency calls with Department Manager.

Assist in planning and coordinating materials, equipment, and subcontractors required for service work.

Monitor job completion and ensure all work is properly closed out in the system.

Track and follow up on open work orders and pending service items.

Review completed irrigation inspections and convert findings into clear, accurate repair estimates.

Input and prepare irrigation repair proposals in company systems for review and approval.

Coordinate with Account Managers on pricing, scope clarification, and client communication for irrigation estimates.

SNOW SERVICES:

Coordinate snow event planning and execution, including pre-event preparation and real-time adjustments.

Assist in building and managing snow routes, crew assignments, and equipment allocation.

Communicate with crews and leadership during snow events to ensure timely and efficient service delivery.

Track snow service completion, site status, and event documentation.

Support client communication during snow events, including service updates and issue resolution with operations team.

Assist with post-event reporting and documentation, including service verification and billing support to include creating maps or other worksheets for tracking purposes.

PURCHASING & PROCUREMENT:

Coordinate the purchasing of materials, equipment, and supplies for enhancement, irrigation, and snow operations.

Issue and manage purchase orders (POs) in accordance with company policies and budget guidelines.

Ensure all purchases are coded correctly to jobs and cost centers for accurate job costing.

Work with vendors to ensure timely delivery and availability of materials and equipment.

Track and reconcile POs, invoices, and receipts, coordinating with accounting as needed.

Maintain strong relationships with vendors to support pricing, availability, and service quality.

POSITION TYPE / EXPECTED HOURS OF WORK:

This is a full-time position. Days and hours of work are typically Monday through Friday; however, this role requires flexibility. Extended hours, nights, weekends, and on-call availability may be required during peak seasons and snow events.

WORKING CONDITIONS:

· The work environment characteristics described here are representative of those encountered within an office and on job sites.

· While performing the duties of this job, the employee is required to frequently inspect properties and may be exposed to ongoing construction and various weather conditions. The noise level in the work environment may range from moderate to loud. This position involves both inside and outside weather conditions.

· Some local and occasional overnight travel required; valid state driver’s license required with an appropriate driving record, as determined by the Company’s sole discretion.

· Employee occasionally lifts and/or moves up to 50 pounds.

· While performing the duties of this job, employee is frequently required to stand; walk; sit; use hands to finger, handle, or feel; reach with hands and arms and talk or hear. Specific vision abilities include close vision and color vision.

Pay: $35.00 - $40.00 per hour
