Position Summary

The Client Services Assistant provides operational and administrative support across several client-facing initiatives. This position plays an important role in producing firm generated products, coordinating continuing education programs for Colorado real estate professionals, managing registered agent reporting processes, and supporting firm intake operations.

No two days are exactly alike. The ideal candidate enjoys balancing multiple priorities, communicating with clients and vendors, and ensuring every detail is handled professionally and accurately.

Primary Responsibilities

Client Products & Educational Programs

Coordinate production and fulfillment of legal products sold by the firm.
Assist with preparing presentation materials, course packets, and supporting documents.
Coordinate continuing education classes and webinars for Colorado real estate professionals.
Manage event logistics, registrations, attendance tracking, and post-program follow-up.
Serve as a liaison with instructors, vendors, and attendees to ensure successful educational programs.

Registered Agent Services

Track registered agent clients and upcoming Colorado periodic report deadlines.
Coordinate annual filings and maintain accurate tracking systems.
Communicate with clients regarding reporting requirements and deadlines.
Maintain organized records and ensure timely completion of all filings.

Client Services & Intake Support

Serve as backup support for the firm's client intake process.
Assist with answering inquiries from prospective clients.
Help route matters to the appropriate attorneys and practice groups.
Maintain accurate client information within firm systems.
Provide excellent customer service while creating a positive first impression of the firm.

Qualifications

Three or more years of administrative, client service, operations, legal, or professional office experience required.
Exceptional organizational skills and attention to detail.
Strong written and verbal communication skills.
Ability to manage multiple priorities and deadlines simultaneously.
Excellent customer service and interpersonal skills.
Proficiency with Microsoft Office, particularly Outlook, Word, and Excel.
Experience working with databases or CRM software is a plus.
Legal, real estate, event coordination, or continuing education experience is helpful but not required.
