Project Accountant

Department: Finance & Accounting

Reports To: CFO

FLSA Status: Exempt

Employment Type: Full-Time

ABOUT THE ROLE

We are seeking a detail-oriented and construction-savvy Project Accountant to support the financial management of our modular installation projects. This role serves as the financial backbone for our project teams — tracking costs, managing billing cycles, and ensuring every project closes on budget and on schedule from an accounting standpoint.

KEY RESPONSIBILITIES

Project Financial Management

Own the full project accounting lifecycle from contract execution through final billing and closeout
Maintain job cost ledgers for each active project, tracking labor, materials, subcontractor costs, and equipment
Monitor actual costs against estimated budgets, identifying variances and escalating risks to project managers

Billing & Revenue Recognition

Prepare and issue AIA-style or Schedule of Values (SOV) progress billings and pay applications
Ensure accurate percent-complete calculations and revenue recognition in accordance with ASC 606
Coordinate lien waivers, sworn statements, and compliance documentation for owner and GC submittals

Subcontractor & Vendor Management

Process subcontractor pay applications and verify compliance with contract terms, insurance, and lien waiver submissions
Review and code vendor invoices; resolve discrepancies with procurement and operations teams
Track and manage subcontractor retainage balances

Forecasting & Reporting

Prepare monthly Work-in-Progress (WIP) schedules and project cost-to-complete forecasts
Generate project profitability reports and present financial status updates to project managers and leadership
Support month-end close with journal entries, accruals, and balance sheet reconciliations

Compliance & Audit Support

Maintain organized project files and documentation for audit readiness
Assist with year-end audit requests, bonding/surety reporting, and certified payroll compliance where applicable
Support tax reporting related to project-based revenue and expenses

QUALIFICATIONS

Required

Bachelor’s degree in Accounting, Finance, or a related field
2–5 years of project accounting experience in construction, modular construction, manufacturing, or a related trade industry
Solid understanding of job costing, WIP accounting, and percentage-of-completion revenue recognition
Experience with AIA billing documents and pay application processes
Proficiency in construction accounting software
Strong Excel skills, including pivot tables and cost-tracking workbooks

Preferred

Experience with modular construction, prefab, or set/scenery fabrication environments
Familiarity with prevailing wage requirements, certified payroll, or union reporting

CORE COMPETENCIES

High attention to detail with strong analytical and problem-solving abilities
Excellent communication skills — comfortable working directly with project managers, operations staff, and ownership
Ability to manage multiple projects simultaneously under deadline pressure
Collaborative mindset with a proactive approach to identifying financial risks early

MEASURES OF SUCCESS

Performance in this role will be evaluated on the following key metrics:

Billing accuracy & timeliness - Pay apps submitted on schedule with <2% error rate

WIP schedule accuracy - Cost-to-complete variance within 5% of final job cost

Budget variance reporting - Variances identified and reported within 5 business days of month-end close

Month-end close contribution - All project journal entries and reconciliations completed by close deadline

Subcontractor compliance rate - 100% of sub payments include valid lien waivers and insurance docs

Audit readiness - Zero material findings related to project files in internal or external audits

Project profitability insight - Forecasted vs. actual margin within 3% on completed projects

Finance leadership has confidence in the accuracy of project-level P&L reporting
The company experiences fewer billing disputes, subcontractor payment delays, and audit surprises
