Full Job Description

Job Summary

We are seeking a dynamic, hands-on, and highly organized Assistant Property Manager to join our fast-paced property management team. This is an active, resident-facing position for someone who enjoys working with people, solving problems, and making things happen.

The Assistant Property Manager will work closely with the Property Manager and on-site team to support the day-to-day operations of the community, with responsibilities spanning leasing, collections, resident relations, unit readiness, staff coordination, and vendor communication.

The ideal candidate is a self-starter who takes ownership, follows through, communicates well, and is comfortable jumping in wherever needed. This is not a desk-only position — you will be interacting with residents, prospects, team members, vendors, and contractors on a daily basis.

Responsibilities

Assist the Property Manager with the daily operations and overall performance of the community.
Support leasing efforts, including responding to leads, conducting property tours, following up with prospects, processing applications, preparing leases, and coordinating move-ins.
Manage and follow up on resident collections and delinquency, including contacting residents regarding outstanding balances, documenting communication, and assisting with the property’s collection process.
Communicate professionally and effectively with residents regarding questions, concerns, payments, lease matters, maintenance issues, and other community-related needs.
Assist with move-ins, move-outs, inspections, and resident account issues.
Work closely with maintenance and other team members to ensure vacant units are being turned and prepared for move-in as quickly and efficiently as possible.
Walk vacant units and common areas, identify outstanding items, and communicate needed work to maintenance staff and vendors.
Coordinate and communicate with vendors and contractors regarding work orders, unit turns, property projects, and other site needs.
Assist with scheduling and monitoring vendors to ensure work is completed timely and properly.
Support marketing and leasing initiatives to maintain strong occupancy and drive traffic to the community.
Assist with renewals, lease expirations, notices, and other lease administration.
Maintain accurate resident files, records, and documentation while adhering to company policies and applicable regulations.
Assist with property inspections and ensure community standards are maintained.
Help coordinate and prioritize daily tasks for the on-site team as needed.
Work collaboratively with the Property Manager and staff to identify operational issues and develop solutions.
Provide support during resident disputes, difficult conversations, emergencies, and other urgent situations.
Maintain a professional, welcoming, and customer-service-focused presence throughout the community.
Perform other duties as needed to support the successful operation of the property.

What We're Looking For

Previous experience in property management, apartment leasing, collections, hospitality, customer service, or a related field preferred.
Strong communication and interpersonal skills.
Excellent organizational skills and attention to detail.
Ability to prioritize multiple tasks and meet deadlines in a fast-paced environment.
Comfortable having difficult conversations and addressing resident and customer concerns professionally.
Strong follow-through and a sense of ownership.
Ability to work independently while also being a strong team player.
Comfortable working with residents, prospects, employees, vendors, and contractors.
Strong computer skills and the ability to learn property management software and other technology quickly.
Professional, positive, energetic, and solution-oriented attitude.
Ability to remain calm and effective when dealing with urgent matters or challenging situations.
