Patient Experience Concierge

Plastic Surgery Practice | Bowling Green, KY | Full-Time

Be the First Impression That Changes a Patient's Life

Every patient has a story.

They may have spent years thinking about surgery. They may be nervous, excited, or simply looking for someone they can trust.

Your job is to make sure their very first interaction with our practice is one they'll never forget.

Dr. Anderson is opening a brand-new plastic surgery practice in Bowling Green, and we're looking for an exceptional Patient Experience Concierge to help build an extraordinary patient experience from day one.

This is much more than a front desk position.

You'll be the first voice patients hear, the first person they meet, and the guide who helps them confidently take the next step toward their consultation. You'll combine exceptional hospitality with relationship-building, organization, and sales support to create an experience that patients rave about.

What You'll Do

Create an Exceptional First Impression

Welcome every patient and visitor with warmth, professionalism, and confidence
Answer incoming phone calls, emails, texts, and website inquiries promptly
Guide prospective patients through the consultation process
Educate patients about procedures, providers, and what to expect during their visit
Deliver consultation quotes and answer questions with confidence and compassion

Help Grow the Practice

Convert inquiries into scheduled consultations
Maintain proactive follow-up with prospective patients
Track lead sources and patient inquiries accurately
Help improve consultation booking and conversion rates
Partner with leadership to identify opportunities to enhance the patient experience

Front Office Operations

Schedule consultations and follow-up appointments
Manage cancellations and fill open appointment times
Check patients in and out efficiently
Collect payments and maintain accurate records
Coordinate communication between providers, clinical staff, and patients
Keep the reception area polished, welcoming, and reflective of our brand

Deliver a Luxury Patient Experience

Anticipate patient needs before they ask
Resolve concerns with professionalism and empathy
Build trust through outstanding communication
Create memorable experiences that encourage patients to refer family and friends

Qualifications

Required:

3–5 years of experience in plastic surgery, aesthetics, hospitality, luxury retail, concierge medicine, or another high-touch customer service environment
Excellent verbal and written communication skills
Strong computer skills and comfort learning new software
Ability to multitask while maintaining exceptional customer service

Preferred:

Bachelor's degree
Experience with EMR, CRM, or practice management software
Previous experience in patient coordination, lead management, scheduling, or consult coordination
