Full Job Description

Job Summary

We are seeking a dedicated and detail-oriented OB/GYN Surgery Scheduler to join our dynamic healthcare team. In this vital role, you will coordinate and manage surgical scheduling for obstetrics and gynecology procedures, ensuring seamless communication between patients, providers, and surgical teams. Your proactive approach will help optimize operating room utilization, enhance patient experience, and uphold the highest standards of clinical efficiency. This position offers an exciting opportunity to contribute to patient care excellence while working within a fast-paced medical environment.

Responsibilities

Schedule OB/GYN surgeries, procedures, and consultations accurately within electronic health record (EHR) systems such as Epic, Meditech, Athenahealth, or eClinicalWorks.
Verify patient insurance coverage, including Medicare and health insurance policies, and conduct insurance verification to facilitate smooth billing processes.
Communicate effectively with patients regarding preoperative instructions, appointment details, and follow-up care via phone or electronic messaging while maintaining professionalism and compassion.
Review medical documentation, care plans, and clinical notes to ensure all necessary information is complete for surgical scheduling.
Coordinate with physicians, nursing staff, anesthesia teams, and surgical coordinators to confirm operating room availability and prepare necessary documentation.
Maintain accurate records of scheduled procedures, cancellations, reschedules, and related administrative data in compliance with HIPAA and clinical confidentiality policies.
Assist with administrative tasks such as filing medical records, updating patient information in EMR systems like Meditech or Athenahealth, and managing multi-line phone systems with excellent phone etiquette.

Qualifications

Proven experience in medical scheduling within a clinical or hospital setting; prior dental or clinic experience is a plus.
Strong knowledge of medical terminology, CPT coding, ICD-9/10 coding systems, and medical billing procedures.
Proficiency with EMR/EHR systems such as Epic, Meditech, Athenahealth, or eClinicalWorks; familiarity with Eaglesoft or Dentrix is advantageous.
Excellent computer skills including Microsoft Office Suite (Word, Excel) for documentation review and office management tasks.
Exceptional customer service skills with the ability to communicate clearly via phone and in person while maintaining professionalism under pressure.
Bilingual abilities are preferred to serve diverse patient populations effectively.
Prior clinic or hospital office experience involving insurance verification, medical records management, intake procedures, and front desk support is highly desirable.
Knowledge of health insurance policies including Medicare regulations and health information management standards.
Ability to handle multiple priorities efficiently while adhering to clinical confidentiality policies and HIPAA compliance standards.
