Full Job Description

Position Overview

We are seeking a detail-oriented Purchasing Coordinator to serve as the administrative hub for our purchasing and construction operations. In this role, you will bridge communication between Purchasing Agents, Designers, and Project Managers while maintaining total data integrity across our core platforms. You will manage subcontractor agreements, process change orders, and safeguard budget accuracy throughout the project lifecycle.

Salary & Benefits

· Salary: $55,000.00 – $65,000.00 per year (Based on experience)

· Job Type: Full-time (Permanent)

· Work Location: 100% On-site (No remote or hybrid options available)

· Schedule: Monday to Friday (Day shift)

Core Responsibilities

· System & Catalog Maintenance: Maintain Buildertrend cost catalogs and internal material libraries to ensure current, accurate product data, pricing, and specifications.

· Administrative Support: Provide high-level administrative assistance to the Director of Purchasing, including schedule coordination and contact management.

· Contract & Compliance Management: Execute subcontractor agreements, adjust trade pricing, and audit contracts to eliminate compliance and pricing discrepancies.

· Change Order Processing: Process approved change orders in Buildertrend, update client selections, log financial adjustments in Timberline, and maintain digital archives.

· Financial Alignment: Partner with the Finance Coordinator to verify client costs and maintain financial accuracy throughout the construction lifecycle.

· Cross-Functional Coordination: Act as primary liaison between Purchasing Agents, Designers, and Project Managers to keep selection data aligned across departments.

· Purchase Order Administration: Issue POs for surveying, soil and engineering reports, building permits, and reinspection fees.

· Reporting & Tracking: Audit weekly logs, including credit card transactions and failed inspection reports, to ensure operational continuity.

· Data Integrity & Systems Auditing: Conduct kickoff audits in company drives and construction software (Timberline, Buildertrend, Your Home) to resolve data errors prior to construction.

· Accountability & Closeout Operations: Issue subcontractor back-charges for failed inspections and organize closed-job documentation for final archiving.

Qualifications & Skills

· Experience: 1–3 years of administrative experience, preferably within residential construction, home building, or purchasing.

· Education: minimum high school diploma required; associate or bachelor’s degree preferred.

· Software Proficiency: Hands-on experience with Buildertrend and Timberline (Sage 300) or equivalent construction management/ERP platforms; strong proficiency in MS Office (Excel, Word, Outlook).

· Catalog & Data Management: Background in maintaining digital cost catalogs, material libraries, or inventory databases preferred.

· Precision & Detail Orientation: Demonstrated tracking record of managing multi-step workflows (e.g., change orders) with high data precision.

· Communication: Strong written and verbal communication skills to effectively collaborate with cross-functional teams, subcontractors, and municipal officials.
