Full Job Description

It will be the responsibility of the Office Manager to provide general administrative support to our employees. Previous experience as a Front Office Manager or Office Administrator is a must, having a creative mind and the willingness to suggest improvement. A successful Office Manager should also have experience with a variety of office software and be able to accurately handle administrative duties. The Office Manager will be required to perform various administrative tasks including, but not limited to, the following:

Create, send, and follow-up upon sales quotes
Manage purchase orders
Reconcile credit card statements
Monitor and manage schedules for various types of employee and company certifications
Manage and prepare postal deliveries / shipments
Monitor government websites for potential sales opportunities
Compose customer and prospect emails, both individually and en masse
Coordinate travel logistics for other employees. Travel for this position is minimal.
Coordinate conference attendance and associated materials
Assist with expense reports
Maintain customer files and CRM database
Manage inventory / company equipment / asset tracking
Assist with the preparation of corporate minutes
Prepare company property inventory
Manage office supplies
Scheduling customer training and installations
Perform errands in company vehicle as needed
Assist in special projects

Required skills and experience:

2 years in and administrative role with demonstrated knowledge of office administrator duties and responsibilities
2 years of experience using Microsoft Outlook including scheduling meetings and managing shared calendars
2 years of experience using Microsoft Word to compose professional letters and/or documentation (examples of past work will be required)
Familiarity with Microsoft Excel
Excellent time management skills
Excellent ability to multi-task and prioritize work
Keen attention to detail
Excellent written and verbal communication skills specifically including diction and enunciation
Capability to learn and become proficient in proprietary software
Capability to pass an FBI criminal background check
Clean driving record
High school degree or equivalent

Preferred skills and experience: all required skills / experience and additionally:

3-5 years in and administrative role with demonstrated knowledge of office administrator duties and responsibilities
3-5 years of experience using Microsoft Outlook including scheduling meetings and managing shared calendars
3-5 years of experience using Microsoft Word to compose professional letters and/or documentation (examples of past work will be required)
