Summary:
The Administrative Assistant and Enrollment Support Specialist must be committed to and advocate for NBFA’s mission to provide students a meaningful, high-quality education through experience-based learning that helps develop essential social, emotional and critical-thinking skills. The Assistant is responsible for various support functions critical to the ongoing efficient operations of New Beginnings Family Academy.
Principal Accountabilities:
Front Office Support
· Greet and assist students, families, staff, visitors, and community members in a positive, professional, and welcoming manner.
· Provide general office management, clerical, and administrative support to ensure the efficient daily operation of the school office.
· Manage incoming and outgoing mail, correspondence, forms, notices, and other school-related communications.
· Support schoolwide projects, programs, and events, including but not limited to Back-to-School Night, Picture Day, Multicultural Night, family engagement events, and other school activities.
· Maintain accurate and confidential student records and files in accordance with school policies and applicable privacy requirements.
· Support daily arrival and dismissal procedures, including processing tardies, early dismissals, visitor sign-ins, and related office documentation.
· Communicate effectively with families, staff, and school leadership regarding front office procedures, student attendance, and general school operations.
Scheduling and Administrative Support
· Assist with coordinating meeting logistics on behalf of the instructional leaders, including preparing agendas, securing meeting spaces, sending calendar invitations, and organizing related materials.
· Provide administrative and clerical support to instructional leaders, including preparing documents, maintaining records, organizing files, and supporting follow-up on assigned tasks.
· Assist with communication between instructional leaders, staff, families, and other stakeholders to support the efficient daily operation of the school.
· Support instructional leaders with schoolwide planning, scheduling, meeting preparation and other administrative needs as assigned.
· Handle confidential information with professionalism, accuracy, and discretion.
Power School
· Enter and maintain accurate staff information in PowerSchool, including new staff profiles and related school-based assignments.
· Input and update student enrollment information in PowerSchool, ensuring that all student records are accurate, complete, and current.
· Assign students to appropriate classes, homerooms, grade levels, and schedules in collaboration with school leadership and designated staff.
· Process student withdrawals in PowerSchool in a timely and accurate manner, including removing students from active rosters and updating records as needed.
· Maintain the confidentiality and accuracy of all student and staff information entered into PowerSchool.
· Support school leadership and office staff with PowerSchool-related data entry, updates, reports, and record maintenance as needed.
Materials and Purchasing
· Maintain, update, copy, organize, and distribute key school documents and materials, including the staff contact list, Staff Handbook, Student Handbook, forms, packets, and other operational resources.
· Support purchasing-related tasks as assigned, including organizing supply requests, preparing materials for review, tracking distribution, and maintaining accurate records.
· Collaborate with school leadership and office staff to ensure materials, supplies, and documents are prepared and distributed in a timely, organized, and professional manner.
Home/School Communication
· Schedule, record, and distribute schoolwide robocalls and family communications in both English and Spanish to ensure families receive timely and accessible information.
· Translate school mailings, notices, forms, and other written communications into Spanish to support clear communication with Spanish-speaking families.
· Provide Spanish translation support during meetings, family conferences, enrollment conversations, and other school-related interactions as needed.
· Collaborate with school leadership, office staff, and families to promote effective, respectful, and culturally responsive communication across the school community.
Enrollment
· Serve as an active member of the enrollment committee and play a key role in managing the student enrollment process, including family communication, document collection, data entry, follow-up, and coordination with the Enrollment Coordinator and school leadership.
· Assist with maintaining accurate and up-to-date enrollment records to ensure a smooth onboarding process for new students and families.
· Regularly update and maintain the student withdrawal list to ensure accurate tracking of student movement and enrollment status.
· Schedule withdrawal meetings with families and appropriate school staff, ensuring that all required documentation and next steps are completed in a timely manner.
· Request, collect, organize, and manage new student records from families, previous schools, and other authorized sources.
· Respond to student record requests from other schools in a timely, professional, and confidential manner.
· Maintain the confidentiality of all student enrollment, withdrawal, and record information in accordance with school policies and applicable privacy requirements.
Certification, Knowledge and Skills:
- Possess an associate or bachelor's degree
- Have three to five years’ school administrative experience
- Be an excellent listener and quick thinker
- Have strong communication skills, both oral and written (Bilingual required)
- Possess a keen eye for details, the ability to multi-task and a can-do attitude
- Thrive in a fast-paced environment and work well collaboratively or independently
- Be a trustworthy individual who can maintain student/family confidentiality
- Be proficient in Microsoft Office suite and PowerSchool
