Job Description: Administrative Assistant

Job Title: Administrative Assistant

Reports To: Office Manager

Job Summary:
The Administrative Assistant provides administrative and clerical support to ensure the efficient operation of the office. This position is responsible for managing daily office tasks, assisting staff and clients, maintaining records, coordinating communications, and delivering exceptional customer service.

Key Responsibilities

Answer and direct incoming phone calls professionally.
Greet clients, vendors, and visitors in a friendly and professional manner.
Schedule appointments, meetings, and maintain office calendars.
Prepare correspondence, reports, forms, and other documents.
Organize and maintain physical and electronic filing systems.
Receive, sort, and distribute mail and packages.
Order and maintain office supplies and equipment.
Enter and update information in company databases and software systems.
Assist with billing, invoicing, and basic bookkeeping tasks as assigned.
Coordinate office events, meetings, and travel arrangements when needed.
Maintain confidentiality of company and client information.
Support management and staff with special projects and administrative duties.
Ensure the office remains organized, clean, and operating efficiently.

Qualifications

High school diploma or GED required; Associate's degree preferred.
Minimum of 2 years of administrative or office experience preferred.
Excellent verbal and written communication skills.
Strong organizational and time-management abilities.
Proficient in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace.
Ability to multitask and prioritize in a fast-paced environment.
Professional appearance and positive attitude.
Strong attention to detail and problem-solving skills.
Ability to work independently and as part of a team.

Preferred Skills

Customer service experience.
Data entry accuracy and document management experience.

Physical Requirements

Ability to sit, stand, and walk for extended periods.
Ability to lift up to 25 pounds occasionally.
Ability to operate standard office equipment, including computers, printers, copiers, and scanners.

Work Environment

Professional office setting.
Monday through Friday schedule, with occasional evening or weekend work as needed.
