About the Practice:

We are a compassionate and growing psychiatric private practice dedicated to providing high-quality, client-centered mental health care. We are seeking a reliable, professional, and detail-oriented Administrative Assistant support the daily operations of the practice and help ensure a smooth, respectful, and confidential experience for our clients.

Position Summary:

This is an on-site position that plays a vital role in both client-facing and back-office support functions. Responsibilities include scheduling, client communication, billing assistance, EHR documentation, and general administrative duties. This role is ideal for someone who is highly organized, tech-savvy, a fast learner, and comfortable working in a clinical mental health setting.

Hours are as follows:

- 16-24 hours per week

- Weekdays and Weekends (some evening hours acceptable)

This position could grow for the right person.

Key Responsibilities (not an exhaustive list):

Client Communication & Scheduling:

Answer and return phone calls, emails, and messages professionally and promptly.
Schedule, reschedule, and confirm client appointments using the practice’s Electronic Health Record (EHR) system.
Call clients for appointment reminders or follow-up coordination.
Communicate with outside providers, pharmacies, schools, and other relevant contacts to support client care.
Use clear, professional, and well-written communication in all client interactions.

Administrative & Operational Support:

Maintain and update client records securely within the Electronic Health Record (EHR) system.
File, organize, and handle sensitive client information in compliance with HIPAA.
Coordinate prescription refills and communicate with pharmacies and other providers as needed.
Keep office materials, supplies, and documents organized and accessible.
Assist with provider credentialing and employee onboarding and administrative support as needed.

General Expectations:

Must be on-site daily; this is not a remote position.
Be comfortable using technology and computer software; must be a fast learner with the ability to navigate systems efficiently.
Possess strong written and typed communication skills with attention to detail and professionalism.
Be comfortable calling and communicating with clients, providers, pharmacies, and schools as part of routine coordination of care.
Multitask effectively while managing changing priorities and timelines.
Maintain a high level of discretion, empathy, and professionalism when handling confidential information.

Qualifications:

Prior administrative or office support experience required.
Experience in healthcare or mental health settings preferred.
Familiarity with EHR systems and common office software (e.g., Microsoft Office, Google Workspace, scheduling tools). Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), and familiarity with mental health office management software is a plus.
Strong organizational, communication, and time management skills.
Ability to maintain client confidentiality and meet HIPAA compliance standards.
Excellent proofreading skills with keen attention to detail, especially for mental health-related documentation.
Strong organizational skills and the ability to multitask effectively in a fast-paced, therapeutic environment.
Exceptional customer service skills with a compassionate, client-focused demeanor.
