Full Job Description

Job Overview

HQ Accounting & Tax Service is hiring a full-time Office Assistant to help keep client information, forms, binders, and office records accurate and up to date.

No accounting experience is necessary, as this position will not involve accounting work. Our processes and projects are teachable. We are looking for a very detail-oriented person who will take the time to make sure information is complete, accurate, and properly presented.

Responsibilities

Open emails daily and process data requests by updating information in TimeSolv, client binders, Word documents, and other firm programs.
Review Word documents in client binders, make corrections, and reprint documents to ensure data accuracy.
Update client binders and make the corresponding updates in TimeSolv so the information matches.
Walk to the local post office box each day to retrieve mail and check the drop boxes outside the office for packages delivered overnight.
Handle incoming and outgoing mail as needed.
Answer phones, take accurate messages, and email the correct staff member to handle client inquiries or tasks.
Help ensure that more than 200 client databases are accurate and up to date with all required information and forms.
Maintain the master client list by matching client names and client codes in TimeSolv.
Review applicable sales tax and withholding clients for signed Form A-777 authorizations and keep the required forms on file.
Check clients with the Wisconsin Department of Financial Institutions for LLC good standing.
Update 1099 databases after year-end processing.
Set up new client binders and make sure client information is accurate in all programs.
Complete other detail-oriented office projects as assigned.

Skills and Qualifications

Strong attention to detail and a commitment to data accuracy.
Good grammar skills.
Proficiency in Microsoft Excel and Word.
Knowledge of email use and accurate data entry.
Good phone skills are a plus.
Ability to learn TimeSolv, client binder procedures, Form A-777 requirements, and other firm processes.
Ability to handle confidential client and firm information with care and discretion.
Understanding of appropriate business-casual attire for a professional office.

Interview and Employment Requirements

Candidates may be asked to complete a short, untimed Word document data-entry exercise during the interview. The exercise is used to verify attention to detail and data accuracy.

Employment is contingent upon successful completion of the required background check, credit check, and drug screening. Work authorization is required.

The position includes standard office work, regular computer use, walking to the local post office box, and occasional light lifting.

Pay: $17.00 - $19.00 per hour
