Reports To: Director of Developmental Center

Department: Admin

Schedule: M-F 7:30am - 4pm, 40 weeks/year

Position Overview

The primary goal of the Developmental Center Assistant is to serve as a trusted administrative and operational resource to the Director, helping manage priorities, coordinate daily operations, and proactively identify needs. This position plays a key role in supporting organizational effectiveness, and helping ensure important responsibilities, deadlines, and initiatives are carried out efficiently.

The Developmental Center Assistant provides high-level support to the Director of the Developmental Center and communicates professionally with staff, leadership, families, community partners, and other stakeholders. This position requires a highly organized, proactive individual who can think ahead, anticipate needs, solve problems, and provide support in a way that increases the effectiveness and capacity of the Director and the overall Developmental Center program.

The Developmental Center Assistant clearly understands and embraces that they are a part of Little Light House Tulsa, a Christian ministry with Biblical core values, whose mission is to glorify God by improving the quality of life for children with special needs, their families, and communities.

Principal Duties and Responsibilities

Manages the Director of the Developmental Center's calendar, helping prioritize responsibilities, coordinate meetings, and protect time for administrative work, planning, and leadership responsibilities.

Tracks projects, commitments, action items, and deadlines to ensure responsibilities are completed in a timely manner and important tasks are followed through to completion.

Maintains awareness of daily Developmental Center operations and identifies areas where additional support, coordination, or intervention may be needed to ensure smooth program functioning.

Provides high-level administrative support to the Director of the Developmental Center, helping advance the mission and ministry objectives of Little Light House.

Coordinates schedules, meetings, communications, and special projects on behalf of the Director of the Developmental Center.

Assists in preparing reports, presentations, correspondence, and ministry-related communications.

Maintains confidential records and documentation with professionalism and discretion.

Serves as a liaison between the Director, staff, families, and community partners.

Assists with maintaining DHS standards within the DC classrooms and coordinates with the Director of the Developmental Center and campus coordinator.

Assists with daily staffing classrooms each morning to fill staff absences, maintain appropriate staff-to-student ratios, and communicate any staffing changes to the DC teachers, therapists and associates.

Supports the daily operations of the Developmental Center, helping ensure effective communication and coordination among educational and therapy teams.

Assists with tracking deadlines, compliance requirements, and documentation to support efficient program operations.

Helps coordinate meetings, transdisciplinary team discussions, and leadership activities.

Assists with onboarding and welcoming new employees, interns, volunteers, and visitors.

Assists with purchase orders, budget tracking, and resource management in a manner that reflects responsible stewardship of ministry resources.

Supports planning and coordination for professional development opportunities, outreach initiatives, and fundraising events.

Helps ensure resources are organized and available to support educational and therapeutic programming.

Qualifications Skills Required

Qualifications

Exceptional organizational skills with strong attention to detail and the ability to manage multiple priorities simultaneously.

Demonstrates strong organizational awareness and the ability to anticipate needs, solve problems proactively, and exercise sound judgment with minimal supervision.

Demonstrated ability to maintain professionalism, discretion, and confidentiality while handling sensitive information and communications.

Required:

High school diploma or equivalent

Good oral and written communication skills

Ability to maintain confidential information using discretion and judgment.

Excellent skills in communication, learning new tasks, teamwork, organization, initiative, self-discipline, and self-directed completion of the job.

Works independently and cooperatively as a team member with all LLH staff.

Self-motivated and proactive, with strong problem-solving skills.

Demonstrates emotional stability, maturity, and a desire to grow spiritually such that spiritual principles will be reflected in day-to-day interactions, with a genuine concern for a job well done.

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)

Incorporate a welcoming and teaching attitude towards guests, student interns, and others who come to learn from the Little Light House team.

Ability to push, pull, lift, and carry 50lbs

Preferred:

2+ years of clerical experience

1+ year experience working in a school setting
