The Project:

Mace, as part of MPA delivery partner joint venture of Mace-Parsons-Arcadis, have been selected as the Gateway Development Commissions partners of choice to support the GDC across the Gateway Program in New York, inclusive of the Hudson Tunnel Project.

The busiest rail connection between New York, New Jersey, and the Northeast Corridor, the Hudson Tunnel Project will improve capacity, reliability, and resiliency of commuter and intercity rail transit serving 800,000 daily passengers from Washington, D.C. to New York and New England. A milestone project supported by the bipartisan Infrastructure Investment and Jobs Act (IIJA), the project is slated to receive nearly $12 billion in federal funding, the largest investment in a mass transit project in modern history.

You’ll Be Responsible For:

Assist project managers and team members with administrative tasks, including document preparation, report generation, data entry, and correspondence.
Coordinate meetings, appointments, and travel arrangements for project staff, visiting teams, and stakeholders.
Maintain project files, records, and databases, ensuring accurate and efficient documentation of project activities.
Manage incoming and outgoing project correspondence, emails, and phone calls, directing inquiries to the appropriate personnel.
Support procurement activities, including purchase orders, invoices, and vendor coordination.
Assist in organizing project events, team building activities, and office functions to foster a positive work environment.
Collaborate with internal departments, contractors, and external partners to facilitate communication and information flow.

You’ll need to have:

High school diploma or equivalent; additional certification in Office Administration or related field is a plus.
Proven experience as an Administrative Assistant, Office Administrator, or similar role, preferably in a construction or engineering environment.
Proficiency in Microsoft Office suite (Word, Excel, PowerPoint), email management, and office software.
Strong organizational skills, attention to detail, and ability to multitask effectively in a fast-paced environment.
Excellent communication, interpersonal, and teamwork abilities.
Ability to maintain confidentiality, handle sensitive information, and prioritize tasks efficiently.

Note: The estimated starting salary for this position is $100k. Starting salary may vary based on permissible, non-discriminatory factors such as experience, skills and qualifications.
