Job Overview
We are seeking an energetic and detail-oriented Trade School Receptionist to be the welcoming face of our institution. In this vital role, you will manage front desk operations, handle incoming communications, and support administrative functions to ensure a smooth and professional experience for students, visitors, staff, and instructors. Your enthusiasm and organizational skills will help create a positive environment that reflects our commitment to excellence in education and customer service. This paid position offers an exciting opportunity to be an integral part of a dynamic educational community.

Duties

Greet students, visitors, staff, and instructors with a friendly and professional demeanor, providing exceptional customer support at all times
Answer multi-line phone systems promptly using proper phone etiquette, directing calls efficiently to appropriate departments or personnel
Manage front desk operations including checking in visitors, scheduling appointments, and maintaining visitor logs
Handle clerical tasks such as data entry, word processing, proofreading documents, and maintaining organized files using Microsoft Office programs
Assist with office management duties including supply inventory, mail distribution, and general administrative support to staff and faculty
Support communication efforts by managing email correspondence and distributing notices or announcements as needed
Maintain a clean and organized reception area that reflects a welcoming environment for all guests

Requirements

Bilingual/Spanish abilities are highly preferred to effectively communicate with diverse student populations and visitors
Proven office management experience with strong skills in Microsoft Office (Word, Excel, Outlook) and general computer literacy
Previous office experience in a front desk or administrative role is essential; clerical experience is highly valued
Excellent phone answering skills with knowledge of multi-line phone systems and phone etiquette
Strong organizational skills with the ability to multitask efficiently in a fast-paced environment
Demonstrated customer service skills with a friendly attitude and professional demeanor
Capable of typing accurately at a good speed while proofreading documents for errors
Experience in personal assisting or administrative support roles is advantageous
Ability to manage time effectively and prioritize tasks to ensure smooth daily operations
