Patient Care Coordinator

Reviv Lounge is hiring a part-time Patient Care Coordinator to join our growing wellness and medical aesthetics team.

We’re looking for someone who is professional, friendly, organized, sales-driven, and excited to be part of the health, wellness, and aesthetics industry. The ideal candidate is detail-oriented, proactive, and enjoys creating a welcoming experience for every client who walks through our doors.

This is not just a front desk position — this is a client care, education, and sales-focused role. The right candidate must be comfortable recommending products, rebooking clients, and helping grow service and skincare sales.

A genuine interest in health, wellness, skincare, aesthetics, and helping people feel their best is a must. We are looking for someone who enjoys learning, building relationships with clients, making thoughtful recommendations, and being part of a growing wellness-focused team.

Position Overview

As a Patient Care Coordinator, you will be one of the first points of contact for our clients. You will help manage the front desk, support the daily schedule, educate clients on services, assist with client follow-up, and help create a smooth, professional, and elevated experience from start to finish.

This role is ideal for someone who is warm, confident, organized, and comfortable talking with clients about services, skincare, promotions, consultations, and treatment options.

Schedule

Part-time position.

Mondays: 9-4pm
Tuesdays: 1:30-7pm
Wednesdays: 9-4pm
Saturdays Every Other Week: 8-12 by appt only
Two weeks PTO after 6 months of employment, no paid time off prior to 6 months
No holidays

Responsibilities

Responsibilities include:

Greeting clients and providing a warm, polished first impression
Answering phone calls, emails, messages, and client questions
Scheduling appointments and managing the daily schedule
Checking clients in and out
Collecting payments and ensuring accurate client information
Making sure required forms, consents, and paperwork are completed
Helping educate clients on Reviv Lounge services
Recommending appropriate consultations, products, or services based on client needs
Cross-selling and upselling skincare products, facials, consultations, wellness services, and additional Reviv Lounge services when appropriate
Encouraging rebooking and helping clients stay consistent with their treatment plans
Following up with clients when needed
Helping keep provider schedules full
Supporting sales goals and clinic growth initiatives
Keeping the front desk, lobby, and client areas clean, organized, and professional
Supporting providers and team members throughout the day
Maintaining a high level of professionalism, confidentiality, and client care
Assist with setting up and implementing customer events

Sales Expectations

This position requires someone who is comfortable with sales in a professional, client-focused way. We are not looking for someone who is pushy, but we do want someone who is confident, proactive, and comfortable helping clients make decisions.

The right candidate should be willing to:

Recommend skincare products based on client needs
Educate clients on services and treatment options
Cross-sell and upsell appropriate Reviv Lounge services
Encourage rebooking and ongoing treatment plans
Support clinic sales goals
Follow up with clients when needed
Help increase client retention, product sales, and service bookings

Requirements

Strong communication and customer service skills
Comfortable using scheduling software, phones, email, and client management systems
Previous front desk, receptionist, spa, med spa, retail, sales, or customer service experience is preferred
Interest in health, wellness, skincare, and medical aesthetics is strongly preferred
Must be available Mondays and Wednesdays
Must be comfortable working in a sales-focused client care role
