Full Job Description

Position Overview

An Administrative Assistant warmly receives visitors at our facility in Norwich, CT. Responsibilities include, but are not limited to, greeting and checking in visitors, including customers, vendors, and contractors. This requires managing the badge access control database, serving as the primary point of contact for operation and access of the facility’s secured entrance gate, and answering incoming calls. The position also requires utilizing multiple software systems to submit purchasing requests, generate purchase orders, track orders from placement through receipt, maintain purchasing records, and receive orders in the purchasing database. Additional responsibilities include sorting and delivering mail to designated personnel, preparing conference rooms for meetings, managing inventory of office supplies, scheduling meetings and travel for Norwich staff as needed, and coordinating contractor and vendor visits. The Administrative Assistant works collaboratively to support all departments across the organization, including but not limited to Facilities, Quality Assurance, the Executive Leadership Team, Safety, and other functional areas as needed. Additional administrative duties involve maintaining facility seating charts, supporting the organization of electronic file structures, light custodial duties and various other administrative requirements as needed. The incumbent must be highly organized and meticulous, punctual, and present for the job during normal working hours, Monday through Friday.

Position Requirements

Qualifications and skills

High school diploma or higher or 2-4 years of relevant experience working as a receptionist/administrative professional.
Must be able to work a 40-hour week minimum, Monday through Friday.
Proficient in Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, and Microsoft Teams.
Ability to quickly learn and effectively utilize new software and business systems.
Experience using multiple software systems to support purchasing, order management, or other administrative functions preferred. Ability to prioritize and manage multi-functional tasks.
Highly detail-oriented with excellent accuracy and follow-through.
Excellent verbal, written, and interpersonal communication skills with the ability to interact professionally with customers, vendors, contractors, and employees at all levels of the organization.
Ability to work independently while collaborating effectively with cross-functional teams, including Facilities, Quality Assurance, Safety, and Executive Leadership.
Demonstrated professionalism, discretion, and a customer-service mindset.
Primary Responsibilities
Responsible for greeting and checking in visitors, including customers, vendors, and contractors.
Serve as the primary point of contact for operation and access of the facility’s secured entrance gate.

Answering and fielding incoming calls, directing them as needed.
Utilize multiple software systems to submit purchase requests, generate purchase orders, track orders from placement through receipt while maintaining records.
Receiving orders in our purchasing database.
Sorting and delivering mail to the appropriate onsite personnel.
Assisting in planning, preparation, and hosting of meetings, including conference room setup and catering coordination.
Managing inventory of office supplies.
Scheduling meetings and travel as requested by Norwich management.
Coordinating visits with contractors and vendors.
Prepare conference rooms and meeting spaces for meetings, presentations, and visitors.
Work collaboratively to support all departments, including but not limited to Facilities, Quality Assurance, the Executive Leadership Team, Safety, and other business functions as needed.
Maintain facility seating charts.
Supporting the organization of electronic file structures.
Perform light custodial and general facility-support duties as needed.
Provide word processing and data entry support.
Various other administrative duties.
