Full Job Description

We are seeking a highly organized, analytically minded, and technology-forward Associate Office Manager to support the operational leadership of a long established and growing ophthalmology practice on the Upper East Side. This role is ideal for a high-performing professional with strong medical office experience who is ready to take on operations, workflow optimization, and team leadership responsibilities.

The Associate Office Manager will work directly with the Practice Administrator and physician leadership to ensure efficient day-to-day operations, exceptional patient experience, and continuous process improvement.

This role requires exceptional professionalism, polished communication, and the ability to support a high‑expectation, fee‑for‑service patient population.

Only candidates with demonstrated medical office operational leadership experience will be considered.

This is not an entry‑level role.

Qualifications

Required:

Bachelor’s degree from an accredited college or university

Minimum of 3 years of operational experience in a medical office

Strong computer proficiency (EHR systems, Microsoft Office, Excel)

Demonstrated experience recruiting, supervising or managing personnel

Excellent written and verbal communication skills

Strong organizational and problem-solving abilities

Candidate must have:

Experience working with high‑expectation or concierge‑style patients
Comfort presenting elective and premium surgical options to patients in a consultative, patient-centered manner
Demonstrated ability to manage complex scheduling and patient flow
Experience coaching or supervising staff
Ability to communicate with clarity, diplomacy, and professionalism at all times
Comfort working in a fast‑paced, detail‑driven environment with zero tolerance for errors

Key Responsibilities include but are not limited to:

Operational Management

Help ensure a world-class patient experience
Surgical scheduling and sales support
Manage daily scheduling, check-in, check-out, and phone operations
Help optimize front office workflows to ensure efficient patient throughput
Assist with vendor relationships and service contracts
Implement new technologies to drive efficiency and improved patient experiences

Team Coordination

Provide daily direction, coaching, and support to the front office team
Assist in hiring, onboarding, and training of new team members. Conduct performance check-ins and support staff development
Promote a culture of accountability, professionalism, and patient-centered care

Financial & Administrative Support

Assist staff scheduling
Review weekly operational reports with leadership
Monitor supply inventory and purchasing processes
Support budgeting and cost-control initiatives

Pay: $80,000.00 - $100,000.00 per year
